  1. University Space What?! We have no more space? Now what do we do?

  2. University Space To help you understand the process, first we must provide you with some history…

  3. University Space At the request of the President & Provost, a comprehensive review of university space was conducted during summer 2007 and was guided by several principals

  4. Guiding Principles • To relocate those units affected by Kendall & Highland Hall demolitions • To more fully & effectively utilize university space • To keep undergraduate academic core programs centrally located on the main campus

  5. Guiding Principles • To move units currently dispersed on campus to contiguous space • To align space assignments to better meet the needs of the university’s strategic plan • To more fully utilize the space at Discovery Park

  6. Guiding Principles • To co-locate academic units to achieve intellectual synergies • To move non-core activities to the periphery of campus

  7. University Space • In tandem with the comprehensive space review, policies and procedures were created to provide a process for how university space would be managed • Space Assignment and Management Policy 10.16 approved September 2007

  8. Space Policy 10.16 • All space is university space and is subject to reassignment based on university needs • University space encompasses both academic & administrative space assignments • Creation of the Space Assessment Committee (SAC)

Composition of SAC • Chair • Donna Asher, Assistant Vice President, Provost & VPAA Office • Academic Affairs • Judith Adkison, Associate Dean, COE • Cynthia Mohr, Department Chair, CVAD • Research • Vish Prasad, Vice President • Faculty Senate • Member: Richard Wells, Vice Chair, Faculty Senate & Professor, Journalism • Named Alternate: Dennis Mueller, Senator, Faculty Senate & Professor, Physics

Composition of SAC • Student Development • Tom Rufer, Director, University Union • Finance & Business Affairs • Charlie Jackson, Executive Director, Facilities • Staff Council • Member: Anissa Breaux-Schropp, Chair, Staff Council & University Compliance Officer • Named Alternate: Scott Windham, Vice-Chair, Staff Council & Manager, CITC • Student Government Association • Rebecca Finberg SAC membership reviewed annually

  11. Space Request Process • Space need is identified • Requestor completes Space Request Form (http://vpaa.unt.edu/FormsList.htm) • Department Chair/Head signs and forwards to Dean/VP for approval • Dean/VP signs and forwards to SAC for review

  12. Space Request Process • Changes in space function or • Reassignment of space within a college/school, academic or administrative unit do not require action by the SAC and are considered informational items

  13. Space Request Process • Reassignment of space across a college/school, academic or administrative unit require action by the SAC and are presented to the Committee by Darlene Callahan, Manager of University Space

  14. Space Request Process • Additional space • New space • Vacated space Requested by a school/college, academic or administrative unit require action by the SAC and are presented to the Committee by Darlene Callahan, Manager of University Space

  15. SAC Request Process • Space requests are reviewed at monthly SAC meetings (electronic meetings are acceptable when appropriate) • Meetings are not “open” to the public; however, parties affected by a request are invited to attend

Space Request Process • SAC notifies requestor, Department Chair/Head and Dean/VP of its recommendation via e-mail • Recommendation is submitted to Provost for approval or disapproval • Department Chair/Head and Dean/VP are notified in writing of final decision • Original request signed and returned to requestor

  17. PIW Process • Once space request is approved, Department Chair/Head completes Project Initiation Worksheet (PIW) (http://vpaa.unt.edu/FormsList.htm) • Department Chair/Head signs PIW and forwards to Dean/VP for approval • Dean/VP signs and forwards to Provost Office for approval

PIW Process • PIW requests over $5,000 submitted to Provost Office will be signed and forwarded to Budget Office for approval • Once all approvals are made, the request will be forwarded to Facilities • Facilities will contact requestor listed on PIW via e-mail or phone to assign a Project Manager to begin working on space request

  19. Space for New Faculty • Need for faculty line identified • Complete VPAA 130 Faculty Recruitment Request (http://vpaa.unt.edu/FormsList.htm) • Must identify building and room number of faculty office/ lab

  20. Space for New Faculty • Space Request Form should accompany the VPAA 130 if additional space is needed • If current space is converted to meet the needs for the faculty line, a Space Request Form is also required • SAC process is followed • PIW process is followed
