  9. Your Plan • Guided by Emergency Response Plan • Shows relationships between Communications and the Corporate Crisis Management Team and the Emergency Operations Centre • Statement of communications philosophy • Names and principal responsibilities of members of the communications team

  10. Your Plan - cont’d • Description of major publics - media, governments, employees, neighbors, etc. • Must contain a debrief and evaluation of the communications during a crisis, over and above any other crisis debriefs and evaluations • Plan should be general; leave the detail to the manual

  11. The Manual • Documents all aspects of the plan • Contains a copy of the plan • Details the organization’s communications policy and procedures • Lists the names, contact information and responsibilities of each communications team member

  12. The Manual - Cont’d • Media lists • Description of media centre - its purpose, location, equipment, description of media registration process, services to be offered, etc. • Describe how media are to be handled in field locations

The Manual - Cont’d • Government contact lists - federal, provincial, civic and municipal district • Community contact lists (NGOs) • Contact information for suppliers of rental equipment and catering services • Fact sheets on products produced/handled • Initial statement template; call sheet sample

  14. The Media Kit • Copy of Crisis Communications plan • Laptop computer - connectable to the internet and the organization’s intranet - must contain document templates and lists • Printer and supply of news release letterhead and plain paper

  15. The Media Kit - Cont’d • Cellular phone with extra batteries and charger • Power bar and extension cords • Stationery items - felt tip markers, paper clips, stapler, thumb tacks, duct and masking tape, scissors, sheets of card stock • Provincial road maps

  16. Additional comments • Ensure Communications/Public Affairs is high on the call list in the Emergency Response Plan • Have time targets for getting first information out • Be conscious of time zones and their importance • Questions?
