  2. Survey Window • The SAC Climate Survey window will be January 15th-May 1st • These instructions are regarding the SAC Climate Survey only

Survey Information • Utilize the AdvancED Online Climate Survey for your stakeholders • ​Once the window closes, all survey data will be available on the AdvancED website. • Most stakeholders will use the online survey through AdvancED. • AdvancED combines faculty and staff surveys. • Various student surveys are available online. • Non-English versions of the survey are available online as well

Opening Survey Links For Your School • VCS AdvancED Instructions Part 1 VIDEO: How to open a survey • In this 2-minute video (link proved above), you will see how to open the Climate & Culture Surveys and Inventories that our district office has pre-loaded for you. You'll see how to grab links to share with your stakeholders and how to set response goals for each stakeholder group. AdvancED recommends 20% for parents, 40% for students, and 60% for teachers and staff. The student survey can be given to students in grades 3-12.

Opening Survey Links For Your School • VCS AdvancED Instructions Part 1 Written Instructions : How to open a survey • Hello everyone, first go to www.advanc-ed.org • Click log in • Enter your email address and password and then click the blue login bar • Now, enter your school name. Click on your school name. • Scroll down and click on the green eProve surveys bar. • You will see the surveys we have pre-loaded for you. • I’m going to show you the process for opening the surveys for your school site. • Scroll down to the bottom of the list to see Climate & Culture Parent Survey. On the far right you will see three vertical dots. Click on those and select edit. • Click on Distribution & Responses. • Copy the link and paste it to a word document to use later for your marketing to your stakeholders. • Enter the number that corresponds to your response goal. For parents, AdvancED recommends at least 20% responding. Look at the number of families you have at your school. Let’s say you have 900 families. 20% of that is a response goal of 180, so enter 180. You’ll enter the number that corresponds to 20% of your families. • Next, be sure that the box to require a code is not checked. • That’s it! There’s no save button. You’re done with that survey. • Now, let’s open the next one. Click on the green back arrow in the top left of the page. • Complete the same process for the Climate & Culture Student Survey. • When you set your response goal for students, the target is 40%. • When you set your response goal for teachers and staff, the target for each of those surveys is 60%. • Now, let’s do the same thing for the two inventories. • Scroll to Student Inventory and click on the three dots, then select edit. Click on distribution and responses. Select and copy the link into a word document. Enter your response goal based on 40%. • Now click the green back arrow to complete our work with the Teacher Inventory. Repeat the same process, using a response goal target of 60%. • That’s it! You’re done!

  6. Evaluative Criteria In order to reach a level 4 rating the minimum responses for each population are as follows: • Parent Questionnaire: equal to or greater than 20% • Student Questionnaire: equal to or greater than 40% • Staff Questionnaire: equal to or greater than 60%

Optimizing Responses • Use ConnectED to notify parents and other groups where to find the survey • Have teachers bring their laptops to a faculty meeting and use a portion of the time to complete the survey • Have students complete the survey through classes that have computers or on a rotation basis in the classroom • Have computers available to parents during a night event or after a SAC meeting • Have computers available to parents who come to check-out their students

You'll see the information immediately visible on your eProve dashboard and also more detailed summary reports available in eProve Surveys. Remember AdvancED recommends 20% for parents, 40% for students, and 60% for teachers and staff. The student survey can be given to students in grades 3-12.

  12. Viewing Your Response Rate • VCS AdvancED Instructions Part 2 WRITTEN Instructions : How to view response rates • Hello everyone! Welcome to part 2 in our series of AdvancED how-to videos. • Here’s how to view your response rates throughout your survey window. • First go to www.advanc-ed.org • Click log in • Enter your email address and password and then click the blue login bar • Now, enter your school name. Click on your school name. • Scroll down to the green eProve surveys area. On the right-hand side you can get a quick visual of who’s taken your surveys. • You can also click on the stakeholder groups to see information specific to that group. • Now go ahead and click on the green eProve surveys bar. Scroll down to the survey you want to see results for. I’m looking first at the Climate & Culture Parent Survey. On the right-hand side you will side 3 dots. Click the dots and then click view summary data. • On the left, next to Respondents, you will see how many people have taken your survey. • At the top of this report, you can select, Gender, Race, Ethnicity, Grade, or Term to get data broken down by each of these areas. • If you’d like to review responses for another survey, click the X to exit this screen. • Now select the next survey you’d like—I’m selecting Climate & Culture for students. Click the three dots, then View Summary Data. You will see the same kind of report for that survey. • That’s all—hopefully this information will help you keep an eye on your response counts. Remember AdvancED recommends 20% for parents, 40% for students, and 60% for teachers and staff. The student survey can be given to students in grades 3-12.

  13. Survey Results • Survey reporting can be accessed at any time during and after the survey administration process; however, survey results are only loaded into reporting every 24 hours. • What do results look like? • What is the best way to share them?

Sharing Results • SAC Chairs and Principals should review the entire survey together first. • Survey results are public record. • Initial survey results must be shared with your stakeholders before the end of the school year, for instance in your May SAC meeting. • Results may also be shared via newsletter, email, ConnectED, or school website. • Complete results should be shared at your first SAC meeting of the new school year in preparation for the writing of your SIP.

  17. Sensitive Results • For the multiple choice section, use any of the AdvancED reports to share information. • For the open-ended section, type up the most common comments to share with your SAC. • Have a complete survey results copy available in the front office for use if a parent should ask to review it. • Suggest an appointment to review it with a school official if necessary in order to be able to talk through sensitive or negative comments.

I’m going to enter Blue Lake Elementary. Click on your school name. • In the top left corner, you will see your school’s name. Click on Institution Update. • Now check all of the information: school name, address, phone number, head of institution (which should be the principal), principal’s email, primary contact and their email.
