  12. Recurring Reports Descriptions Below is a list describing the current setup for recurring reports in Simply Reports: 1.) Outstanding Fines (runs each Monday at 4:30 AM) -This report lists each fine that is currently outstanding for each of your library’s patrons. -Report lists the patron name, item title, item call number, item barcode, amount of individual charge (not the sum of charges… if a patron has more than one charge, the patron will appear on the report multiple times), and the date that the charge was assessed. 2.) Checked Out Items (runs each Monday at 4:30 AM) -This report lists all items which are currently checked out and does not include missing or lost items. -Report lists item title, item call number, item barcode, current borrower’s name, and the item’s due date. 3.) Missing & Lost Items (runs each Monday at 4:30 AM) -This report lists all items which currently hold a circulation status of missing or lost. -Report lists item title, item call number, item barcode, whether item is missing or lost, and the date it was marked missing or lost. Please note that items which were marked lost or missing on Workflows are all listed with a date of November 4, 2011- this cannot be rectified. Last updated on: June 13, 2012

  13. Recurring Reports Descriptions (continued) 4.) Recently Added Items (runs every 1st of the month at 4:30 AM) -This report lists each item which was added to your library’s collection over the past month. -Report lists the title, call number, author, year of publication, material type, and creation date of the item. 5.) Currently Deleted Items (runs every 1st of the month at 4:30 AM) -This report lists each item which currently has a record status of “deleted” and has not yet been purged from the system. Another way to look at it is a list of items which were deleted over the past month. -Report lists the title, call number, author, year of publication, material type, and deletion date of the item.   17. Creating Custom Reports • But what about creating and running reports that do not have a template? The possibilities are endless, but here are a couple scenarios which you may run into: • 1.) Taking inventory is easiest with a shelf list. • 2.) Putting together record sets in Polaris is great, but using that data to create a printable report is even better! • 3.)   34. Wrapping Up • Simply Reports is the new method for retrieving reports. • A link to Simply Reports is conveniently located on the BELS website. It can also be accessed via its direct URL: http://prod.bccls.org/simplyreports • Logging in to Simply Reports uses the same credentials as Polaris. • Use Internet Explorer with Simply Reports whenever possible. • There are currently 5 types of recurring reports available for viewing. • You have the power to run reports (via template or your own creation) whenever you see fit. • Record sets carry over into Simply Reports. • Since reports wind up in Excel, data can be manipulated very easily. • Please contact the Consortium Coordinator with any questions, comments or concerns.
