  7. Lookups from SharePoint • SharePoint lists and special column types can be used to validate and populate KC fields • Supported columns: • Managed Metadata • Enterprise Keywords • Lookup • Choice • Text • Numeric

External Field Types • Create a new field type from an external source • New option available via the context menu on Field Types tab or the ribbon bar • After successful authentication, the user is presented with a tree view of the site, allowing selection of a column from a site or a list • External Field types have a different icon to distinguish them from ‘standard’ field types

Validation/ Runtime • External field types are validated against data source at runtime • Fields linked to SharePoint will be displayed in validation as a textbox or a dropdown • If a field fails validation, then the operator will be presented with a window that displays the textbox with auto-complete functionality • Type ahead and multiple values are supported

Multiple Values • Columns with multiple values are supported • Configure Managed Metadata column in SharePoint to allow multiple values • Table Fields can also be mapped if delimiter is set to semicolon • Connector takes advantage of additional data to improve performance and avoid ambiguity • Prevents multiple matches when SharePoint validation is used

How Implemented? • Phase 1: • ERP-Link with auto.indexing for ECM • Scan via Kofax Capture with Kofax SAP Connector • Phase 2: Portal submission of Pilot Certificates • Phase 3: ILM with Compliance Suite - Current Approach • SAP sets and manages the retention period • SAP event (retention period expiration) will be received by ERP-Link and passed to SharePoint event receiver • Background WF will fire that picks up PC, drops it into a temp folder with ERP-Link Scan-link; which will perform SAP ArchiveLink load to the new Compliance Suite Repository in SharePoint • SAP ILM via ADK Object will eventually archive both SAP data and the PC (in batches of hundreds) into a different SharePoint Repository – until Dutch law says everything can be destroyed
