  2. 2006-07 Enrolment Confirmation Process • OnSIS data used for the first time • Goal is to integrate OnSIS & EFIS • 2007: SB23

  3. Enrolment Web Application • To ensure enrolment data required for 06-07 Financial Statements are available within timelines • An interim process for 06-07 • Web-based application available in EFIS – “Enrolment Verification System” • E-mail notice has been sent to boards

  4. Enrolment Web Application • Interfacing data from OnSIS & feeding into EFIS • Board can review data summarized at school level • Similar to old Legacy Enrolment Review screens

  5. Enrolment Web Application • The languages section in the web application is different from Legacy • In the web application, Enrolment (or pupil credits) for Section E, F & GH is summarized at the school level (with no details of enrolment or pupil credit data by grades) • Also, languages data are summarized according to the language grant categories of the FS • The objective is to interface data for grant calculation purpose as required in the 2006-07 Financial Statements

  6. Enrolment Review Process • An “Enrolment and Language Allocation” report will allow boards to view 06-07 summarized enrolment and language course credit data; and to compare to 05-06 FS and 06-07 Revised Estimates. • Finance Officers can make changes, if necessary, as part of the enrolment review process.

  12. Ministry Review Process • In pre-planning the enrolment review process, finance officers: • Examine the 2005/06 financial related data and note areas of concern • Review 2006/07 Revised Estimates and note explanation for large variances. Contact board where applicable

  13. Day School and Languages Enrolment • French as a Second Language, English as a Second Language/PDF & Native Language • Review variances from the Enrolment and Language Allocation report and obtain explanations for significant variances

  14. Completion of Enrolment Confirmation • “Enrolment and Language Allocation” report will be signed off by Finance Officers before feeding the data to EFIS for inclusion in the 2006-07 Financial Statements. • On completion of review, a confirmation letter with a copy of the “Enrolment and Language Allocation” report will be sent to boards.

  15. Completion of Enrolment Confirmation • Boards must ensure all adjustments made during the review process are also made in the OnSIS system by October 10, 2007. (to the extent the adjustments are reflecting the current OnSIS business rules) • A formal reconciliation of adjustments will be made in the Enrolment Verification system in Fall 2007.

  16. OnSIS Data Collection Issues • Identify technical issues where OnSIS data collection negatively impacts enrolment for funding purposes. • E.g. FSL quadmester courses captured in the OnSIS June data collection can be adjusted in the web application for funding purposes • Inquire of any other OnSIS reporting issues that may impact calculation of grant • Identify any other issues that contributed to the board not meeting the OnSIS data collection timeline.

  17. Post Confirmation Review • List issues and concerns that should be pursued with the board staff during the finalization of the 2006-07 Financial Statements.
