  2. Reports Answer Questions • What were yesterday’s sales? • Which books is Professor Johnson using in Biology 101 this term? • How much inventory am I carrying in health & beauty products?

  3. “Canned” Reports and Searches Answer Many Questions • What were yesterday’s sales? Daily sales reports from POS & ICS

  4. How much inventory am I carrying in health & beauty products? Inventory > Physical Inventory > Inventory Value Report

  5. How many dollars worth of Gear products sold last March? • Posted Sales (Detail by Vendor)

  6. Use the Report Generator • When there is no canned report • When you can’t define the report parameters exactly as you would like • When the canned report uses too much paper for your taste • When you want the report sorted in a different order • When the canned report does not have all info you’re looking for

  7. “Plain Jane” Reports • Not fancy • Landscape or portrait format • Can print column headers on each page • Can print selection criteria • Numeric columns can provide subtotal and totals • One line of data per item • Related data can be grouped

  8. How to Create a Report • Ask a question. What are you looking for? • What criteria must be matched for an item to appear on the report? • What do you want to see on the report? • SKU, description, retail price? • PO number, PO date, item info, received qty? • How is the data to be sorted? • By Vendor? • By Sales Quantity?

  9. Description The name of the report The description can’t be changed, so should be generic if selection criteria may change • E.g., “Open POs for a Vendor”, not “Open POs for Pearson”

  10. Template Main module in which most of the fields are found The choice of the template determines what fields can be used for selection and what is available to appear on the report

  12. Field Type or category of data in a template Fields in the Report Generator correspond to fields in modules E.g., term name, department, course, section, SKU Fields are the basis for selection criteria and the data on the report

  17. Value Third factor in relationship with selection criterion and operator • A variable Status = Closed Invoice Date < 03/15/2008 • Another field Cost FC > Retail Accounting Cost FC < Cost

  21. Creating and Refining Reports Now that you know what goes into creating a Report Generator parameter record, we’ll go into WinPRISM and see how you can: • Create a basic report • Refine the report by making changes

  25. What If… • A key field is missing from the report? • Add it to the list of fields

  26. What If… The report isn’t providing meaningful data? • Try sorting the data differently • Reformulate the question • Try a different template

  27. Remember… • You can’t harm your data • It lets you ask questions to probe your data and help you manage your store better • Major improvements will be in version 1.8.2.X Play with the Report Generator & have fun!
