  8. .175/ CEDARSOverview • CEDARS extract contains 11 files, certain data elements are repeated in multiple files. • WESPaC extracts are done weekly (Friday, approx. 10 pm). • OSPI will use data as of specified dates, for the various Term/Semester/Trimester deadlines. • Corrections need to be made in WESPaC, cannot “resubmit” a file. A file will be extracted again the next Friday. • It is not necessary to correct your errors weekly. It is required to submit data to OSPI.

  10. .175/ CEDARS Teacher Certification # If your district does not have the teacher certification numbers entered in WESPaC, please call us ASAP. 509.456.2718

  11. .175/ CEDARS Teacher Certification # Rules for Teacher Cert #: • Teacher Certification Number • Z number from S275 database • T followed by last 4 SSN digits (temporary) • E followed by last 4 SSN digits (emergency) Work with your district’s HR department to obtain Teacher Certification Numbers

  12. .175/ CEDARS Teacher Certification # Running Start Courses • RS000 for Teacher Certification # • Enter the Staff in WESPaC as follows: • First Name: Running • Last Name: Start • Place the Running Start teacher on the Meeting Pattern for the RS Courses • OR you can use a principal or counselor with a teacher certification number

  15. .175/ CEDARS Another logon screen will appear. This screen takes you to the ‘test’ data base in OSPI. If you do not have your login for the ‘test’ area, please contact OSPI at 800.725.4311 or customersupport@ospi.wednet.edu

  19. .175/ CEDARS Once you have logged in to the CEDARS area, follow the instructions in the CEDARS Data Correction Manual. Print this manual from the EDS website: Info Center – Documents/Other Documents CEDARS Error Process (October 2008)

  20. .175/ CEDARS Error Correction Hints • Process Errors: check that Data Elements have data supplied and whether the data submitted matches the physical constraints. • Individual File Errors: if a record has a process error, it will not be loaded into the data warehouse and Business Process Errors are not applied.

  21. .175/ CEDARS Error Correction Hints (cont) • Start with the Process Errors • Then review the Location File • Then review the District Student File, Course Catalog File and Staff File • Next the School Student File • And last the Student Schedule and Staff Schedule Files

  23. .175/ CEDARS This is a new process. WSIPC is working to resolve errors. If you have an error repeated for thousands of records, please contact OSPI to check if this error is on their list of corrections. Remember it is not a requirement for you to have the data clean every week. Focus on the dates OSPI will publish for term, semester or trimester schools. At this point, OSPI does not expect the data to be pristine. We are expected to have files submitted to OSPI by October 31st.

  24. .175/ CEDARSIgnore these errors There are two known errors that OSPI is working to correct: • BirthDate cannot be converted to a valid date. • School Withdrawal Code should be equal to or less than 2 characters long.

  25. .175/ CEDARSFinal Thoughts OSPI will be transferring the .175 data elements from your CEDARS files to a Data Warehouse. Be sure your district has data in the files on October 24th, this will be the data transferred to the Data Warehouse. Because the WESPaC extract is at 10:00 pm on October 31st, this file will not be selected by OSPI for the Data Warehouse. Again, be sure you have data in these files.
