  2. The golden rule for being a programme director • you do not have to know everything • either: • you need to know where to find the answer • you need to know someone who knows the answer • you need to know someone who knows where to find the answer

The award ceremony: what do I do? • smile • process • find the correct seat on the stage • doff • read out student names and prize-winners • in July … and November and February • pre-requisites • students are enrolled on the correct programme • students have handed-in their assessments • appropriate assessments have been (double-)marked [definitions available] • examining boards have made clear, consistent and equitable decisions

Examinations and assessment • lead the examining board decisions • consult with the programme team beforehand • the examining board decision is final (change on appeal) • be present at the start of “your” examinations • this extends to module leaders for “their” examinations • ensure that what you tell the students is what has been approved: • how is the final award calculated? • what are the assessment weightings? • what has to be passed? • ensure that marks are recorded in CAMS (before the board!) • meet the schedule for submitting and approving papers

The examining board • CAMS has been programmed to encapsulate UWIC regulations • CAMS includes PSRB requirements for specific programmes and “knows about” approved core (sic) modules • CAMS “suggests” decisions; the examining board makes the decisions • examining boards should make consistent decisions • examining boards have discretion (within the regulations) • if CAMS is not used for an examining board, then the “decisions” made are provisional until marks entered, calculations run and all chair’s actions completed • if a decision is made outside regulations, then no transcript can be provided to the student

Inputting marks to CAMS • can input marks for individual assessments • good idea to get coursework marks entered as soon as possible, rather than leaving it to near the examination period • reports are available from CAMS, and more are being developed • help is available from School Registry Officers and the MIS Unit • a new student and academic information system is being commissioned • award board reports, assessment types: approved • progression board reports: almost complete; AQSB to review this term

Enrolment • imminent! • be present when “your” students are due to be enrolled • Assist Enrolment Officers with module information for part time students, for fee purposes. • timetables available on Staff Portal as part of Week One Welcome continues throughout the year • multiple intakes • non-standard start dates • students want to change from one module to another, and from one programme to another • please keep us informed of proposed start dates • record APL and inform us

  8. Programme approval, monitoring and review • changes via the Academic Quality and Standards Board • the Quality and Standards Unit has regular meetings with Schools to help plan changes • regular deadlines throughout the year, depending on the scale of the proposed change • programme matrices now available on the Web • = “technical cover sheet” • subset of the programme specification, so this is not an ‘extra’ • Evaluation of Academic Programme(s) • Online Module Selection

Regulations and information • Academic Handbook, including changes log • unfair practice: essential to have good records of encounters with students • transfers to Ordinary route • transfers to named pathways (Latin with Oceanic Studies) • statutory returns • National Student Survey • new student and academic information system [Agresso, aka Unit 4] • forms • statistics

  10. What next? • enrolment • Evaluation of Academic Programme(s) • ARQT: • 9th February: changing a programme or a module • 11th May: the annual regulatory refresher

Some things to remember • please cascade information to your module leaders • remember the silent majority of students when dealing with a subset of those students • use the resources on the Web • rely on the information and systems that we have • if in doubt; • or even if you think you know: Ask (preferably before something bad happens)
