  7. Email Content • Do NOT use ALL CAPS • Do NOT use lots of obscure fonts • Do NOT use lots of coloredfonts • Do NOT use more than one exclamation point at a time!!! • Do NOT include attachments • Do NOT include one single image (and no text) in your email • Do NOT misspell

  8. Recipients Perception Make sure your emails consistently have the following: • Memorable branding, that matches the branding on your website. (i.e. Logos, colors, typography, etc. ) • A “from” line is a name they will recognize • Make sure the subject line is brief and to the point – yet still inviting • Monitor your email sending frequency PRO TIP: Feature an instantly-recognizable, consistent header image. Over time, your image will be associated with the high-quality information you share. As an example, see our eNewsletter to the right.

  9. Maintain Clean Email Lists ISSUE: The act of repeatedly sending to invalid addresses can damage your sender reputation OPTIONAL ACTION: Use the eMail Status Summary Report to review the emails you have sent

New (& Improved) Email Address Cleanup Process • Summary: • We are introducing a new benefit in your database – automatic notification and quarantine of invalid or unknown addresses so that you can worry less and engage with your members more. • How it Works: Newly added email addresses will be scanned nightly by an email verification tool. Addresses marked as invalid will then display under the Invalid Emails item in your Task List (as well as in a notification email), and will be quarantined after 30 days.  This gives you ample time to update or re-check any of the identified addresses. Even after quarantine, the address can still be modified and retrieved. • When it Begins: Starting Mid-May for some customers, and for others it will start in June or July. Watch for Invalid Emails in your Task List.

  11. SPF Records • What is an SPF Record? • Stands for Sender Policy Framework (SPF). Because of Spam, many ISP's have begun performing a type of SPAM check called a an "SPF lookup“ to verify that the sending IP address of a mail server is authorized to send email from your domain. • In other words, the member’s email provider is asking, "Is this email message coming from an authorized sender?" If the answer is "no" they will either reject it or filter it to your member’s SPAM folder • What can you do to ensure your SPF is set up correctly? • Have the company who manages your Domain Name Server (usually your web hosting company) add ChamberMaster’s email servers to your SPF Record(s) Here are the instructions to provide to the company that manages your Domain Server: • ChamberMaster/MemberZone Setup SPF Record • GrowthZone Setting Up SPF Records • If you are still not sure, contact our Web Support Team.
