Ambassador Training Session Thursday , September 9, 2010

Join us for a training session to learn how to promote our school, interact with the community, and excel in public relations. Develop a positive attitude, maintain a professional appearance, and expand your knowledge of the school. Effective communication, handling negativity, and fulfilling event duties will also be covered. Be prepared to attend recruiting events and mandatory Open House.

You were chosen because: • You are interested and can do a good job. • You are responsible and caring. • You are proud of St. Michael High School. • You want to share your pride with others. • You enjoy meeting and visiting with people. • You submitted an application for this year. • The Administration approved membership.

  4. Mission Statement: To promote the school through recruiting, community interaction, and public relations

  5. I. Duties A. Training Sessions • General Training • Two sessions in two different years required • Agenda • Receive Folder with Information Sheets • Review Power Point (on website) • Sign Contract • Receive Membership Pins as you exit

  6. I. Duties B. Attitude Be polite, positive, helpful, and confident! Everything that you do reflects on the school.

  7. I. Duties B. Attitude People notice negativity quickly and easily. People may tell others about it. This is very hard to repair.

  8. I. Duties C. Appearance Dress Uniforms: • Clean • Pressed • Well-fitted • Grooming • Well-groomed • Conservative Hair/Make-up • Conservative Accessories • Shoes • Clean • Shined

Knowledge of School • Review Stat Cards in folder. • Keep it in pocket of blazer for reference. • Do not leave a question unanswered: • Find someone who knows the answer. • Take name and number and give to someone who can help. • Refer them to the school office, the administration or Public Relations Department.

  10. I. Duties E. Behavior Info Sheets: Meeting and Greeting Guests • Introductions • Shaking Hands • Conversations • Apologizing • Body Language

  11. Hints: Responding to Negativity • Acknowledge your regret and their discomfort. • Offer a positive comment or alternative options. • Move to a new and more pleasant subject.

  12. Hints: Personal Negativity • Avoid anything negative while recruiting. • Resolve your issues elsewhere. • Avoid criticisms of other schools. • This makes SMHS and all of us look bad. • All schools have advantages and disadvantages. • Avoid sarcasm. • Even for entertainment purposes.

  13. II. Communications A. Announcements • Listen carefully. • Check board near room 9 and website. • Look for memos during lunch. • Assist distributing memos.

  14. II. Communications B. Sign-Up Sheets • In Commons on cork board near Room 9 • Include name/grade/lunch shift 4, 5, or 6. • Scratch out if you change your mind. • Call Mrs. Brouillette after school hours. • Hint: Keep a personal calendar including family and school items.

  16. III. Events Optional 1. Home Visits • Feeder school 8th graders/parents invited • Held in homes of our students • Sunday evenings • Dates are 9/28 and 10/11 • Three locations • Several schools combined in each

  19. FYI: Home Visit Agenda • Beginning – Greet guests who sign in • Middle – Prayer, Welcome • Send adults and students to different rooms • Program: Discuss informally Spirituality Extra Curricular Activities Curriculum Questions • End - Visit/refreshments/goodbye

  20. FYI: Home Visit Duties • Reminder notice delivered at lunch periods on the day before event • Arrive ½ hour early in proper dress • Dress Uniform • Nametag • Smile • Be ready to speak on various topics. • Deliver goodie bags to guests

  22. III. Events Required Open House • Thursday, October 27, 2010 • Held from 5:00 to 7:30 p.m. for guests. • Ambassadors arrive at 4:30 p.m. • Stay until last guest leaves • Ends 8:00 – 8:30 p.m.

  23. III. Events Required Open House • All Ambassadors must attend. • Notify employers now so that schedules can be adjusted early.

  24. III. Events Required Open House • Most Ambassadors will be Tour Guides • Exceptions: • Performing groups • Cheer/Dance/Flag/Band • Drama/Choir • Freshmen: Door Openers or Luminary Patrol • A few select Ambassadors work at stations • Final decision made by Mrs. Brouillette

Events Required Open House Tour Guide Training Sessions • Business Session – 30 minutes • Held during lunch periods in mid-October • Tour groups/routes/instructions • Follow Up Session – 15 minutes • Held during lunch periods in late October • Last minute instructions or changes • Not considered as General Training Session

  26. III. Events C. Service Hours • All recruiting events are approved by Religion Department as “B” hours. • Service hours cannot be earned during regular school hours.

  27. IV. Legal Issues A. Athletics • We follow all LHSAA rules. • We avoid promises, gifts, and any kind of financial incentive. • We follow all civil laws. • We avoid discrimination based upon race or religion.

  28. IV. Legal Issues B. Spokespersons • You are legally responsible for what you say to the public. • You will be chosen only if you agree. • You will be well trained and prepared. • When in doubt, refer to authority: • Administration • Public Relations Department • School Office

  29. FYI: Guidelines for Faculty • All recruiting efforts are in accordance with Christian ethics, civil laws, and LHSAA membership requirements. • We avoid promises, gifts, and discrimination. • We recruit the whole person and consider special talents incidental.

  30. Recruiting Philosophy We achieve our mission by communicating facts, showing our positive attitude, and sharing our welcoming atmosphere with the whole community.

  31. Recruiting Goal Our goal is that each family makes an informed decision regarding selection of a high school that is beneficial to all.

  32. Degree of Participation • Determined by you and your family • Based upon your availability • Family responsibilities comes first. • School responsibilities come next. • Ambassador responsibilities follow these. • Employment responsibilities should be adjusted for Open House.

  33. Probation The Administration reserves the right to place any Ambassador on probation for up to one school year.

  34. Membership Pins First year members get an “Angel on my Shoulder” pin.

  35. Membership Pins Two and three year members get a bar pin.

  36. Membership Pins Four Year Members get a star pin at the Fall Honors Convocation.

  38. Contract • Sign and leave on tables in class box. • Get your pin as you exit. • Put pin on lapel of blazer. • Keep info cards in pockets of blazer for reference. • Wear nametag at events.
