  3. What does NCMA expect from it’s chapters? • NOT MUCH! • Requirements to receive your chapter rebate check • Annual Chapter Report • Roster of Chapter Officers • Year-end Financial Report • Chapter to have it’s own Federal Tax ID number • Audit Report Planning Your Chapter Program Year

Your NCMA Calendar JUNE: - Go to the NCMA Leadership Summit - Transition duties to new board members - Send out Chapter Survey to members JULY: - 2 hour planning meeting – Set Goals and Plans - Visit key stakeholders- get their input and buy in - Prepare to turn in Annual Chapter Report and Financial Reports AUGUST: - Finalize the plan. Get ready for your September kickoff event JANUARY: - Go to the NCMA Leadership Mid-Year Conference MARCH: - Identify Ballot Candidates for Next FY - Cast chapter ballot in National Election APRIL: - Hold Chapter Elections MAY: - Turn in your Chapter Volunteer Roster JUNE: - Start all over again Planning Your Chapter Program Year

  9. Creating Your Chapter Annual Plan • RULE # 1: Have fun! • RULE # 2: Just because it has always been done that way doesn’t mean you have to keep doing it that way! BREAK THE MOLD! • RULE #3: Know Your Customers…EVERY CHAPTER IS DIFFERENT • SURVEY THE MEMBERSHIP • TRY DIFFERENT VENUES/PRICES/PROGRAMS • RULE #4: You can’t please everyone • RULE #5: Money CAN buy happiness! • RULE #6 Do what you want to do! THINK OUT OF THE BOX • RULE #7Perfection is not possible, but being the best you can be, is. • RULE #8 Remember Rule #1 Planning Your Chapter Program Year

Does Your Chapter Have a Vision? • Have a Vision! • The Chapter is a member benefit that adds value to the Association by providing opportunities to members for networking, information on the profession, and educational forums that lead to career enhancement, in a local setting, tailored to local needs. Taken together, Chapters provide the distribution capability of the Association to accomplish the Association's goals. Don’t lose money? • Increase attendance by XX%? • Win national awards and recognition? • Have 80% of chapter membership attend at least 1 chapter event? • Pay for 3 chapter members attend the Leadership Summit and Mid Year • Increase chapter cash reserves by 25% • Identify 10 new chapter volunteers • Review chapter bylaws • Elect a minimum of 33% new chapter officers (no more Treasurer for life…) • How do we achieve these goals?   24. Chapter Annual Report Objectives: The chapter’s annual report demonstrates how the chapter: • provided value to members, • connected NCMA and members, and • operated effectively. Details will be discussed in the Awards and Honors Presentation Planning Your Chapter Program Year

  26. What Do You Do First? 1. You need to have a board meeting. Early July Tell everyone to bring 1 person to the meeting so you have greater support. Let the chapter buy breakfast or lunch. Review the Year-end Financials. Prepare to turn in your annual report and financial report. 2. You need a plan (or two, or three). Assess last year. Discuss the great ideas you heard at the Leadership conference. Set goals for the coming year. Set time lines and tasks and assign responsibilities. 3. Communicate with your membership. Send out a survey. Go to www.ncmasd.org click on “Surveys” and save. Planning Your Chapter Program Year

  27. What Do You Do First? 4. You need a cash flow plan. (See 1:30 session on Building your Chapter Budget) 5. You need to talk to the local Agency and Industry Leaders. What are their training needs? Will they support their employees attending chapter events? Will they speak at chapter meetings? 6.You need to have a board meeting. Early August Review the survey results and decide on what, when, where and how much. Finalize the events and dates Finalize the Cash Flow Plan Focus on your September event Get the word out to the members Planning Your Chapter Program Year
