  4. Definition of BULK UNITS • “The TOTAL units (attempted, earned and GPA) manually calculated in SHAPCMP screen in BANNER at time of conversion.” • Courses included in BULK Units will display detail on Degree Audit (Subject, Crs #, Grade) but will NOT display UNITS for that course.

  5. Display of BULK UNITS Transfer Credit will only display institutions that had course detail (title, crs title, grades, etc.), therefore, Military Transcripts will not appear here. Test Credit will NOT display when student has BULK units

Effect of BULK UNITS on Requirements • Course Requirements – courses from BULK units will satisfy requirements looking for COURSES. • Unit Requirements – Requirements checking for Units will have to be verified manually for students with BULK UNITS. For Example: • UD Units for the Degree • Elective Units for the Major

  9. Effect of Bulk Units on GPA Requirements • GPA Calculations will have to be verified manually for students with BULK units. • Overall Cumulative GPA (2.0) • Overal GPA in the Major (2.0) • GPA Calculations will be handled by the system for students with no Bulk Units.

Effect of Bulk Units on Community College Units • BULK Units will not identify units from a 2-Year Institution. • View transfer schools listed on External Credit tab in Audit Report; • If you see a 2-Year School listed: Open Singularity to view units from that school. • Note: This situation will become less and less common as we have less and less students with BULK units.

  11. BULK UNITSGo Forward Process • Bulk units will be “un-posted” and replaced with “real” units when: • The campus evaluates an AT after the conversion date • The campus receives an AT after the conversion date

  12. Student Types for Degree Audit 1. All course work in PeopleSoft system (Native Students) • Use Degree Audit for GE & General Degree Requirements • Receive Full Audit for certain Majors/Minors “Paper” Students 2. Transfer course work scanned (for DARS) • Have BULK UNITS • Use Degree Audit Report for GE and General Degree Requirements • Receive Full Audit for certain Majors/Minors 3. Transfer work not scanned (“old” students before scanning was done) • Have BULK UNITS • Use “old” GE Worksheet + “old” Major Worksheet

  14. Student Group NOAA = NO Academic Audit • “Old” Students, who at the time of PeopleSoft GoLive, never had their transcripts scanned will be placed in a Student Group = NOAA. These students will see this message on their Degree Audit Report: “SINCE YOUR TRANSFER RECORD LACKS THE DETAIL REQUIRED BY THE DEGREE AUDIT SYSTEM, YOU WILL NEED TO WORK WITH YOUR ACADEMIC ADVISOR IN THE IDENTIFICATION AND TRACKING OF YOUR DEGREE REQUIREMENTS.” • Note: As students’ BULK units are replaced with scanned units they will be removed from this Student Group and will see a full audit report.

  15. TRSF = Transfer Students Student Group • Students admitted as a Transfer Student will automatically be placed IN the TSFR student group. • This directs the UDGE requirement to either check for 57 earned units or not check for 57 earned units.

  16. GEFL = FULL GE Certification Student Group • EMS Staff will manually place students IN Student Group GEFL when the student is fully GE Certified. • When the system sees that a student is in the GEFL Student Group it will • Indicate that their LDGE is certified • Display the UDGE requirements

Full GE Certifications for LBST and Nursing Plans • FULL GE Certifications for NURSING PLANS • Process nightly to look for students IN Student Group GEFL & in a Nursing Plan then: • Take them OUT of Student Group GEFL, and • Put them IN Student Groups: GE-A, & GE-C • FULL GE Certifications for LBST PLANS • LBST Plans not affected by this Student Group because the GE Requirments are not included in the Audit Report.

Student Group GE-A, GE-B, GE-C, GE-D, GE-EPartial GE Certification • EMS Staff will manually place students IN Student Groups GE-A, GE-B, GE-C, GE-D, GE-E to reflect partial GE Certification for the corresponding GE Area. • When the system sees that a student is in one or more of these Student Groups it will: • Indicate that their particular LDGE Area is waived

  19. Partial GE Certifications for LBST and Nursing Plans • GE-A: O.K. for LBST and Nursing Plans • GE-B: NOT allowed for LBST and Nursing • GE-C: • NOT allowed for LBST • O.K. for Nursing Plans • GE-D: NOT allowed for LBST and Nursing • GE-E: NOT allowed for LBST and Nursing

Student Group DHCG = One Course Fulfills AI • EMS Staff upon review of student transcripts will assign the requirement designation of DHCG to any course that meets the entire AI area. • A query will run nightly to find students with this requirement designation and place them IN student group it will

  21. Test Credit:CONVERSION PROCESS • Test credit/units will be lumped in with BULK units • Equivalent course assignments in DARS will be given the same course assignments in PeopleSoft.

Test Credit:GO FORWARD PROCESS • The system will retrieve all test results entered for a student. • The test scores will be evaluated using the test credit RULES and the internal CSUSM equivalent courses will be assigned. • These will be displayed on the Degree Audit and can be viewed through Records and Enrollment’s Page

  24. CATALOG RIGHTS = Requirement Term • GE CATALOG = Requirement Term at Career (UGRD) and Program (UBACH) levels • MAJORS/MINORS CATALOG = Requirement Term at Plan level (Majors/Minors)

Requirement Terms assigned by PeopleSoft • Req Term for GE (Career/Program Level) will be the Term student began at CSU or CA Community College • Req Term Majors/Minors (Plan Level) will be either: • The student’s ADMIT term at CSU San Marcos if the student declared their major on their application, or • The term the student declared their major • If you can demonstrate that the student was following your Plan (i.e. completed Core Courses) before coming to CSUSM you can process a Req Term Override.

  26. GE AREA ‘C’ BIG CHANGE! CS MUST BE FROM DIFFERENT DISCIPLINES (Fall 03) • Encoding requirements in the Catalog identified a discrepancy between what was displayed in our Catalog and our Advising Practice in Area C. • PeopleSoft Audit will honor the Advising Practice of accepting similar disciplines in Area C if the course was taken off-campus for current students. BUT……… Beginning Fall 2008 (students with a Requirement Term at Career Level of Fall 2008) the PeopleSoft Audit will limit 1 course from each discipline for Area C. Get the word out at Orientations this summer!

  27. Area C Requirement Change for Fall 2008 Admits….. • For Students Admitted for Fall 2008 (Requirement Term at Career Level of 2084): • PeopleSoft will make sure that courses used in Area C will be from DIFFERENT DISCIPLINES. • Inform students of this at Orientation

  28. LDGE Pattern for PALOMAR STUDENTS; but once a student is admitted to CSUSM they must follow the CSUSM LDGE Pattern which requires 3 different disciplines for Area C.

  34. UDGE Courses– Junior Standing TRANSFER STUDENTS: Will not be checked for this because of their admission requirement of having to complete 60 units before attending CSUSM. FIRST YEAR STUDENTS: WILL be checked for this throughout their career here at CSUSM. Currently, the system will look for a minimum of 57 total units earned before allowing a BB, CC, or DD course to fulfill the UDGE requirement.
