  1. Having clean, safe, supervised and fully operational Wellness Centers and outdoor recreation area is one of our core duties as BP Wellness Center Staff. We are the Wellness Program and we are responsible for it’s facility’s safety, cleaning and maintenance. We have cleaning and maintenance staff to help us do this but we are ultimately responsible for what gets done. Our job is to make the program go—no matter what the issue is. Be it cleaning a toilet, writing a business plan, fixing a bike seat or presenting to the company leadership team—at one time or another you will probably have a chance to do all of the above.   3. The main office process all staff need to become familiar with is that of membership paperwork. The process has been outlined in detail by L'Oreal Hunter, WL 4 Wellness Center Administrator. Office Systems BP Wellness Center

  4. People (non-Wellness Center members in WL 1) and members who cycle to work regularly are eligible to receive a permanent locker to store their items in— depending on availability and frequency of use. Details are laid out here by Lauren Gonzales. Currently the WL1 locker room is available for use by any bp employee or contractor.   5. Facility cleaning is shared jointly by the cleaning staff and wellness center staff. Details on responsibility for specific tasks and the frequency on which they need to Be performed are laid out here. Wellness Staff needs to ultimately make sure the facility and equipment are kept clean at all times. It is part of your daily routine to be spot checking the facility for cleanliness and organization. Areas of responsibility will be assigned to you. Facility Cleaning BP Wellness Center

  6. Facility Maintenance The Wellness Center Staff is ultimately responsible for making sure the equipment and facility is kept in working order. It is our responsibility to make minor repairs if possible or to call/notify the correct personnel to do so (by call x7000 or creating an online service request). Wellness Staff and management is then responsible for tracking the repair process and keeping the rest of the staff up to date on the progress of the repairs. Monthly fitness equipment maintenance is performed by a contract company, called Fitness Contractors. For any exercise equipment breakdowns, we fax them via their service request forms (available in our office). Please place the out of order sign on machine with one of our signs (staff member will show you where the electronic file location where all the signs are kept). For any mechanical problems with the washer and dryer, x7000 is notified or Scott Equipment is called. For trouble with the laundry chemicals or pump system, Puritan Chemicals is called.   7. Any other facility or equipment maintenance issue not mentioned above be it mechanical, electrical, plumbing, etc. need to be handle by our building engineers. They can be summoned by calling x7000 or by creating a service request online. Computer and telephone issues can be addressed by calling X4444. We also have our own tools for minor repairs. Remember, if you are ever in doubt about the way to proceed with a particular issue—notify your Wellness Supervisor! All other maintenance issues BP Wellness Center

  8. We have a number of disposable supplies which need to be reordered and stocked regularly. An inventory and reordering sheet is included here. The cleaning staff assists us with the inventory of these supplies, however we the Wellness Center staff are ultimately responsible for the inventory and reordering of supplies.   9. Although we do not wear uniforms in the Wellness Center, we do have a professional dress code. Please familiarize yourself with it and adhere to it at all times. Dress Code BP Wellness Center

  10. All staff members have keys to the front and back doors of their home facility (WL 4 or Helios Plaza). Storage closets and laundry rooms are keyed the same as the front door (one key for all locks). Keys to the filing cabinets (member paperwork-which must stay locked at all times) and lost and found chest in the laundry room are kept locked in a filing cabinet behind the front desk (in WL 4 and Helios Plaza). A staff member will show you the location. You will also be provided with a “key to the keys.” Facility Key System BP Wellness Center

  11. There is one master key for all the facility lockers and that is stored with all the other keys. You will be asked often by members to unlock their lockers. If this happens, the wellness staff should be the first ones to open the locker. If a male locks himself out (or female vice versa) and there is only a female wellness staff available we have designated key deputies that can unlock the locker.   12. We mass communicate with our members primarily through our website, e-news announcements and signs and paper articles in the facility. Website: We have our main “internal” BP Wellness website which resides inside the company firewall and cannot be accessed by the outside world. We also have the trainingdimensions.net website which resides outside the BP firewall and can be accessed by anyone. Most of our articles and training content resides here.   13. E-newsletters: Sent out monthly. As a staff we all contribute to the content (announcements, articles, upcoming events). E-mail announcements: Usually sent out to special sub- groups of members or entire membership when there is a specific piece of news we need to get out in a hurry. The membership e-mail distribution list is kept by the WL 4 Wellness Administrator. All e-mails come from her. Sheila Sharemet is the only person who can authorize a mass e- mailing to the membership. E-communications BP Wellness Center

  14. Surveys: We collect a great deal of data from our members to help us provide the best Wellness Program possible. We regularly survey sub-groups of members and once per year send out a satisfaction survey to the entire membership. All staff contribute to the surveys and their analysis and reporting.   15. Signs: Temporary signage (such as announcements) and more semi-permanent signage (like instructions and warnings) must be printed from the Wellness signage template. The template is located on the Wellness shared drive and looks similar to this Slide. Semi-permanent signs should be laminated. The entire staff creates signage when needed. Please do not over-sign the facility. Articles and handouts: Frequently used training documents and monthly articles are available in the Wellness Centers. The entire staff is encouraged to contribute articles and information our members may find helpful. The Wellness Administrator is in charge of keeping the articles stocked around the facility(s).   16. Items left or found around the facility or locker rooms is placed in the laundry room chest (for larger, valuable items) or front desk cabinet (for smaller valuables). Both places have locks (combination in the laundry room, key in the front file cabinet). We are not responsible for any items left in the locker room or facility. Members are clearly instructed to not leave items overnight (but they often do anyway). Lost and Found BP Wellness Center
