Why Web Conferencing? • A cost efficient way to get your message across a dispersed group of people (inside and outside J&J) • Web Conferencing lets you incorporate visuals with your audio calls to guarantee greater attention levels and higher retention rates with your participants. • Some live meetings and trainings can be replaced using web conferencing technology, delivering a huge cost savings on flights, hotel, car rental, meals, mileage, etc.

  4. Logging In • Visit https://ncs-emea.intercallonline.com • Login using Username and Password

  5. Scheduling a Meeting • Click on “Schedule a Meeting”

  6. Scheduling a Meeting • Chose NCS Web Conferencing Powered by Live Meeting • Select Continue

  7. Web Conferencing Login • At your Home Page, Click the Schedule Meeting Link

  8. Scheduling a Meeting • Include your email address so you may customize and send invitations to attendees and presenters • Set the meeting schedule, being careful to match time and time zone • You must set your default Meeting Options when you schedule your first meeting • Click Send Invitations button to automatically send invitations

Setting Meeting Options • Entry Control, Presenters – Set Meeting Keys for your Presenters • Entry Control, Attendees – Set Meeting Keys for your Attendees • Meeting Entry Time – Allow attendees to arrive 30 minutes early or anytime • Extended Registration – Capture email and company name from your participants • Meeting Lobby – Hold your attendees until you are ready to admit them to the meeting room • Additional Features – Set defaults for the meeting room • Content – Set an expiration time for imported files • Audio – Set controls for audio set-up • Recording – Prepare or enable recording NEW for 2005

  12. Sending Invitations Insert Your Email Address in Both Fields This will send you a copy of each invitation. You will forward invitations to your meeting participants.

  13. Reviewing Meeting Details Join as a Presenter or as an Attendee Click Update Meeting to change the meeting schedule or Meeting Options to change the tools or options for this meeting Don’t forget to send updated invitations if you change the schedule or passwords Note:

Logging into the Audio • Click Join Conferenceto have Live Meeting phone you (if you selected this option in Meeting Options when the meeting was scheduled) When using the Join Conference and/or Audio Broadcast feature, the Audio and Recording Setup window will appear Click on the toolbar • Click Start Broadcasting to have live meeting broadcast your audio presentation one-way to your audience (if you selected this option in Meeting Options)

Click Alternate Method: Share -> Share Document to View Browse for your file or document Highlight the file or document and click “Open” Live Meeting will import your file or document into the Resources Pane Importing Files Please note: You may import most printable document types, including Adobe Acrobat, Excel, PowerPoint, Project, Visio and Word • Most PowerPoint slide transitions and animations are supported • You can import multiple resources into your meeting room

Select the resource in the Resource List pane(Alternate ways to choose your documents: Click Tools Manage Resources from drop down menu) To switch to a different resource (document), click on another one in the Resource List pane Click on any slide in the Thumbnail Navigation pane to begin showing your document’s content Selecting Your Resource

Zoom into Documents Click View Zoom or Click Available when displaying documents other than PowerPoint Presentations Can be adjusted to larger or smaller view at any time Adjusting Your Viewing Area Note: Audience view is independent of the presenter view Tell your audience they can do this too!

  23. Sharing: How To Initiate Sharing • Click the Insert Sharing Slide icon • Choose how you want to share • Click OK when ready Share a single application Share entire desktop or sharing frame Share a single application

Your application or desktop will automatically be shown to your audience Sharing: Live Meeting Sidebar End App Sharing and Return to Live Meeting Resources Attendee List Seating Chart Question Manager Sharing Options The Live Meeting Sidebar allows you to pause or end sharing and provides easy access to common tasks Pause Sharing Share Control

  26. Importing Versus Sharing Share When You Want to Demonstrate or Collaborate Import When You Want to Make a Presentation Definition Uploads a static copy of most common printable documents (ie. Excel, PDF, PowerPoint, Word) Allows dynamic, real-time access to any application or document. Changes may be saved Scope You can import any number of documents or files. Live Meeting stores each file as a resource You may choose to share a single application or your entire desktop. You may then elect to share control with one participant at a time Emphasis You may use your annotation tools to emphasize key points Participants can see any changes made in real-time within the application Storage Resources are stored in the room, allowing the option to print to PDF Applications and files remain on the host computer

  27. True Full Screen Click View  Full Screen Mode, Click or use F5 To return, right click and select Full Screen Mode from the menu that appears or use ESC This is the best setting for Application Sharing Adjusting Your Viewing Area

  28. Attendee Pane • Make a Presenter • Chat • Block from chatting • Remove from Meeting Invite Others Business card information is set in User Preferences under the Tools menu

  29. Now Presenting Pane • Designates the active presenter and displays that presenter’s photo in the Now Presenting pane • If the checkbox for “lock control over content” checked, then only the active presenter can control the slide area Change Active Presenter 
