Goals: By the end of today’s session, you should be able to: • Be familiar with the set up for the Position and Job Hierarchy Universe • Create a report in the Position and Job Hierarchy Universe • Be familiar with why and which conditions you will need for most queries in the Position and Job Hierarchy Universe • Be better prepared for the Salary Planner extract HR CPR: Salary Planner

  3. Section 1: Review of Position and Job data concepts HR CPR: Salary Planner

  4. Banner HR Terminology Position • An approved, budgeted slot for which employees can be recruited and hired. • Can be filled or vacant. • Is identified by a Position Number. First letter identifies campus location of Position. • Position Class helps define the Position. It will provide the Position a title, salary range, etc. • Position Org Code defines the ‘owning’ organization for the Position. Job • Occurs in Banner when an employee is placed in a position. • Is identified by a Job Suffix. • Is comprised of Job Begin Date, Title, FTE, Employee Class, Pay Rate, etc. • Is the combination of a Position and an Employee. Banner HR Terminology Employee • A person becomes an employee when appropriate forms are filled out and they have been given a job with the University. • Is identified by a UIN. • Is comprised of Hire Date, Employee Class, Home Department, etc. Position vs Job • Many Jobs can be associated with one position. • This can be the case with Student. - This will be the case with Pooled Positions. • A single Employee can hold a number of different jobs associated with more than one position. - This can happen with a professor who has been named a department chair or a student working for several different units. Banner HR Terminology Salary Planner Extract • Salary Planner does not include all E-Classes in the extract - only E-classes in the Excel handout are included in the extract • Salary Planner uses Position Org to identify which organizations’ employees belong to. Position Org can be different than the employee’s Home Org, the Job Detail Time Sheet ORG and the Paying Org • Only certain Position Budget Profile Codes are pulled into Salary Planner. • For Faculty (E-Class begins with A), Academic Professionals (E-Class begins with B), and Post Doctoral Interns (E-Class = PA or PB), the following Budget Profile Codes will be pulled in: • B – Grant • N – Non-Recuring • R – Recurring • For Graduate Assistants (E-Class = GA), the Budget Profile Code only nulls will be pulled in. Banner HR Terminology Salary Planner Extract • For Open Range employees (E-Class = CA/DA/EA), the following Budget Profile Codes will be pulled in: • B – Grant • BO – Open Range Grant • N – Non-Recuring • NO – Open Range - Non-Recurring • R – Recurring • RO – Open Range – Recurring • For Unpaid (E-Class = UA), employees, the following Budget Profile Codes will be pulled in: • B – Grant • BO – Open Range Grant • N – Non-Recuring • NO – Open Range - Non-Recurring • R – Recurring • RO – Open Range – Recurring HR CPR: Salary Planner

Banner HR Terminology Salary Planner Extract • For faculty, Academic Professionals, Post Docs, Grads, and unpaids, only jobs that are active on or before August 16, 2006 will be pulled. • For open range, only jobs that are active on or before August 27, 2006 will be pulled. In addition, only Positions that do not have a Bargaining Unit Code. These Positions are considered under contract. • Only Position with an active status will be pulled. HR CPR: Salary Planner

Things to consider about your request… Usually you need to determine if ‘My’ employees signify only those employees where I am the ‘Home’ Organization or all employees that have jobs (‘Timesheet’ Organization) in my Organization or all employees that I pay from my CFOAPs. For Salary Planner we are concerned about the Position Organization. ‘My’ employees is likely defined with a Campus Code and a College Code (and maybe even an Org Code or Dept Code). I want to see what my Salary Planner extract data will look like. When you use the phrase ‘will’, it means you are looking at the information that hasn’t been extracted into Salary Planner yet. Most of the data that gets pulled into Salary Planner is Employee, Position and Job related data. To verify what will get pulled into Salary Planner, we will need to use the Position Job Hierarchy Universe. HR CPR: Salary Planner

Position and Job Hierarchy Universe Overview • Who should use this universe? • College and Department HR Managers & BS Managers • Anyone who needs to verify employees’ Positions, Jobs and/or Contract information • Universe Description • This universe contains: • Historical records of positions and jobs, • Position, position attribute and job information, • Employees attribute information HR CPR: Salary Planner

Position and Job Hierarchy Universe Overview • Universe Tips & Tricks • For most of your queries, you should include • Position Number, • Job Suffix and • Employee Name. • We track a lot of history. If you are only interested in getting information that is active right now, you need to use the predefined conditions that we have set up in the Universe: • Current Position, • Current Job, • Current Active Job Detail, and • Current Employee. • Similarly, if you are using contract information in your query, you should use the Current Contract Predefined Condition HR CPR: Salary Planner

Consider your Conditions: Org Hierarchy What group of employees are you interested in getting back? • What Campus? 1 - Urbana, 2 - Chicago, 4 – Springfield or 9 – UA • What College? – the College of XY • What Departments? – The Department of ABC, DEF, etc. • Which Orgs? – The Organizations of 123456, 654321, etc. HR CPR: Salary Planner

  31. 3 Options for Saving your document Option 1: File > Save • This is the Business Objects default. This saves the document to the hard drive of the machine you are currently working on. The location is under: My Documents > My Business Objects Documents > User Docs Option 2: File > Save As • This allows you to choose the location to save the document. This location could be on your hard drive, on a CD or USB drive or on a network share, for example. This is also the option used to save to a different file format – like an Excel .xls file. Option 3: File > Send To > Personal Documents • This sends the document to be stored on the Decision Support server. You can then retrieve the document from any location or computer. • This option is very useful when you have created the document at a workstation that is not your own and you want to be able to retrieve it back at your desk or you create the document at your desk and want to be able to retrieve it in a lab setting.   32. You need to send to Personal Documents Select ‘File’ Select ‘Send To’ Select ‘Personal Documents’ You will then be able to retrieve this document from any PC that has Business Objects. HR CPR: Salary Planner

Salary Planner Universe Overview • Universe Tips & Tricks • Only the Final scenario is in the Universe • Only Position, Jobs and employees entered into Salary Planner can be seen in this Universe • Always limit on a fiscal year or you will get all Salary Planner data for all years. • When comparing Salary Planner Positions and jobs to Current Positions and jobs, you will only see Positions and Jobs that were budgeted through Salary Planner • The job change reasons for a particular job are only available to the organizations that own the job, similar to the security schema in the HR-Pay increment HR CPR: Salary Planner
