  1. Step by Step User Guide WCES (Web Candidate Entry System)

To log in you will need the following: • User Name • Pin number (4 digits) • Vasco token (6 digits) changes every 15 - 30 seconds • Password (9 characters) • WCES works best with Internet Explorer 6 (IE6). FETAC advises users not to upgrade to IE 7 or IE 8 and not to use Firefox. Browser compatibility issues will be resolved in FETAC new system which will be released early 2010. FETAC regrets any inconvenience.

  3. Your first login is a security login • Here you enter your username in the top box. • In the Password box enter your PIN (4 digits) followed by the 6 digits currently displayed on the screen of your token (do not use the remember my password here) • When you click OK you are brought to the Intranet homepage

  5. Click on Candidate Entry system this will be your next login, enter your user name then your 9 character password

  6. This is what your homepage looks like. Start at Step 1 and don’t skip any steps.

  7. First thing to do is click on Step 1Enter Estimated Awards(this is the actual certificate title e.g. RAXXX - Component Certificate, or BBSXX - Business Studies etc.,)

  8. This is the next page you will see!You may see some history from previous assessments on this page, but the information you have now is new so click on New Award Estimate!

  9. Click on New award estimate and you will see this page.You can use this page to enter a single estimate or alternately click on “switch to list view to enter a batch of estimates”

  10. If you click on Switch to list view you can enter your estimates in batches this page opens, enter details and click submit.

  11. If you submitted your Award Estimates successfully you get a message stating “you have successfully created the award estimates for your centre”(You may want to double check that you have estimated for your award/s, to do this just click on the Award Estimates tab) • Your next step is Module estimates (Step 2) return to your homepage.

  13. This is the next page you will see!Some centres may see some history from previous assessments on this page, but the information you have now is new so click on New Module Estimate!

  14. Click on New Module Estimate and you will see this page.You can use this page to enter a single estimate or alternately click on “switch to list view”

  15. A pop up appears when you click the greyed module box, search for you module then select it using the radio button

  16. If you click on Switch to list view you can enter your estimates in batches this page opens, enter details and click submit.

If you submitted your Module Estimates successfully you get a message stating “you have successfully created the module estimates for your centre”(You may want to double check that you have estimated for your module/s, to do this just click on the Module Estimates tab) • Your next step is Enter/Create Roll Class/es (Step 3) return to your homepage and click on Step 3.

  19. Step 3 Roll class/es1. Assessment is automatically populated2. Create your own code for the class (up to 6 characters)3. You must select an Award code(Default means all candidates will have same award)4. Candidates from history can be selected here or left blank!5. You can also default modules, but only if all candidates are doing the exact same otherwise leave this default blank- Click Submit

Now you are ready for Step 4 • From this point on provided you have your estimates done and roll class/es created it’s just a matter of putting in your candidate details, you will need their names, date of birth and PPSN. • It would be helpful at this point if you knew if any of your learner’s have previously done NCVA/FETAC, reason being PPSN can only be accepted once into the system.

  21. Some samples of error messages - PPSN already exists,de-select tick box for error row and then re-submit – make a note of the PPSN search within your own site and if no result found forward details to certification@fetac.ie

  22. Single entry message-PPSN not unique-search within your own site if no results found, send details to certification@fetac.ie xxxxx

  23. This message comes up if you enter in a PPSN that is NOT a valid number

  24. Part D of Step 4 – Batch assign module entry allows you to enter candidates for a module regardless of what roll class they are in.

  25. Select the module by using the pop up search and hit submit

  26. The next screen shows the candidates who you have entered in for the assessment period who have NOT been assigned the module you have selected. Double click on their names in the De-selected box to bring them over to the Selected box and hit submit

  27. Step 4 part C – Add/Remove Modules • This function is used to add/remove modules for all candidates in a roll class.

  28. Select the roll class along with the module/s that you either want to add/remove

  29. In the de-selected box double click on the module/s that you wish to add or remove then click on the option you require ( Add/Remove) Select one option

  30. Step 5 Update results

  31. Select the module on the left and/or select the roll class

  32. This page allows you to enter in the results for your candidates. The system will automatically calculate the grade. When the results are entered hit the submit button.

  33. Step 6 Run Provisional Reports

  34. Click into the radio button on the left for the report that you want to run and then click on run report. Click the link to view the report

  35. The first report shows the Provisional Results

  36. The second report shows Provisional Statement of Results

  37. The Third report shows Provisional Learner Group Results

  38. Step 8 The Declaration

  39. To be completed by authorized person. Please make sure all processes have been carried out in accordance with the assessment guidelines. A declaration can only be made once.

  40. Step 9 Final Statement of Results can only be downloaded between dates specified

Troubleshooting • Do not use google search for www.fetac.net, type directly into the address bar. • Updating Learners from your history to a current roll class, use the search option by clicking the candidates tab and on the dropdown use PPS, or Surname (whichever is more convenient), on their details page use the edit option and add them to the roll class you have created. Another way to find these is to click on the details of the roll class they were in before and click on their name in the list, then edit them to current roll class. • Not sure what you have already entered – On your homepage under the heading Reports scroll to option “View candidate entry information” select the assessment period in the dropdown, then click the arrow to download list (the list returns all information entered to date for the assessment chosen, only thing you cannot see on this list is results). You can view past lists here also by selecting previous assessments. • Need a question answered email your query to certification@fetac.ie
