  1. April, 2019 ADEN model recap Core Training for Members Estimated time 30 minutes

  2. EN operations

  3. ADEN blueprint at-a-glance

  4. Toll Free Line: Screened callers directed to appropriate Member site More likely to receive referrals regularly if a National provider Local service area providers will need to engage in active Marketing Must make contact in two business days / Member decides if accepting Ticket Direct Calls: Members who have completed ADEN Core Training are listed on the SSA EN Directory Direct calls go to the Member Point of Contact and Member makes decision Other referrals: Your reputation will grow, and you will get referrals, from: Mental Health providers / CILs / other partner agencies Vocational Rehabilitation (formally through PP, or informally through relationships) Referrals – how it works

  5. Assessment Tools: https://americandreamen.org/participant-assessment-tools Ticket Assessment Guide Participant Assessment Tool Is the Ticket available for assignment? Check by using Ticket Help Line (must be with Participant), or: Collect SSN, enter in a Note in YOUR record, email Kevin to check SSA system Is the person committed to self-sufficiency within 3 years? This is the core issue you need to resolve Explain job search activities take effort, it’s like having a job Part-time work to start is fine, if the goal is full-time within 3 years Assessment – who do I assign?

  6. Create Participant Record ADEN Portal Guide walks Members through the process of creating records: https://americandreamen.org/portal-user-guide Once record is created, a CiviID #identifies the record you created, you will refer to this individual by this ID # when protecting PII is needed ADEN Intake Form Valuablenext step eases the collection of information from your Participant, which will help you in development of the IWP and providing BWIA services Consent Forms SSA 3288 consent forms are needed if you will be requesting a BPQY for your Participant directly, rather than having the Participant get the BPQY from SSA Accepting referral – what do I do next?

  7. IWP development basics: Make sure you connect the persons experience, background and skills with the current goal(s). Pay attention to tips provided within the IWP form and follow them! Complete the IWP carefully, and fully, for each Participant Special Instructions for first 5 IWP’s: You will need to have your first 5 IWP’s review by ADEN Admin When ready for review, upload draft IWP (without signatures) to the new Participant record, email Kevin with request to review using Civi ID # to identify ADEN Director will notify you as a part of the review process when you no longer need review and approval prior to getting signatures IWP Example: https://americandreamen.org/individual-work-plan-iwp Developing the iwp

  8. Use the ADEN Portal Guide for instructions Creating Participant Record – The first thing you will do after you determine you want to work with potential Participant. Creating Employer Record – Created after Participant is employed. If employed when referred, wait and add employment information after Ticket is assigned. Potential vs. Pending: Potential: the status a record has while developing the IWP, and gathering initial information Pending: the status a record has when you have a signed IWP in Notes, which signals ADEN Admin to assign ticket ADEN Portal

  9. Update Participant Record: When benefits information changes When phone or address changes Monthly adding Participant Services When employment information changes (wages, hours, job ends) When attaching important documents from your Participant Updating Portal records

  10. Regular scheduled meetings with Participant is necessary Participants need to know you are a value add for them and have a reason to meet with you! During job search, you should schedule weekly or bi-weekly meetings Post employment, you should schedule monthly follow up minimum An established rapport with Participant will ensure ongoing reliable communications You need to provide a service; not sufficient to just ask how are you doing? Refer to IWP regarding services you stated you would offer Quality services

  11. Protecting PII: NEVER send PII via email Includes Name, SSN, or any other identifier IWP Signatures: Preferred method is live ink signatures If needed, you may collect via electronic signature process Building Rapport: More difficult with distance based services, consider the following: Video conferencing – seeing is believing! Drop in hours for Participants – scheduled time when any Participant can call Scheduling meetings using calendar invitations – Organization is key! virtual services
