  2. BEFORE THE MEETING Send Meeting Conference Notice Date to include month, day and year. Must include general educator, and administrator, special educator and other educators. Include student when appropriate. Check purpose for the meeting. Document attempts to contact parents. Send ten days before meeting; parent may waive right

  3. BE PREPARED Simple Explanation of Rights Study and be prepared to explain. Do not read. Prepare and bring to meeting (or have available) Draft IEP Procedural Safeguards Student’s CCR, CR, Grades, Test Scores, samples of student’s work or assessments. Forms: IEP Team Summary Report, Meeting Notes, Prior Written Notice, Authorization to Release Information Arrive on Time!! Don’t be Late!!!

  5. SCRIPTING Write the “Gist”. Use position, not name. Don’t record as fact. Supervisor Consideration. Don’t commit others for services in their absence. Don’t specify other placement unless other institutions representative is present.

  7. THINGS TO KEEP IN MIND Authorization to Release Information form Prior Written Notice Other Forms – Have available. When parent signature is required. Phone conferences.

  8. BODY LANGUAGE DO: Look at whoever is speaking, nod, and make eye contact. Show interest. Avoid postures such as folding arms. Model respect for team members opinions and comments. Watch seating arrangements.

  9. BODY LANGUAGE Don’t Use facial expressions, sighs, etc. that says disgust or irritation. Seat parents/guardian so they feel it is “us versus them”. Fold arms that may say to parent, “I’m not going to listen to what you are saying”.

  10. AT THE END OF THE MEETING Make sure you have all signatures. Make copies of documents – one for parent, one for central office and others if needed.

  11. AFTER THE MEETING Make changes in Easy IEP if program was changed. Send copy of documents to Central Office. If a change was made in the goals and/or accommodations, distribute new At-A-Glance to teachers. File original copies of documents in CCR.
