  4. Rotary District 7870 Objectives2018-2019 • Support and strengthen Clubs • Focus and increase humanitarian services • Enhance public image and awareness

District’s Goals for 2018-2019 District Goals: Support and strengthen Clubs: • Net membership increase of 60 in current clubs • Add two new clubs (NH & VT) Focus and increase humanitarian services • Every Rotary Club participate in at least one Global Grant Project • Every Rotarian contribute to Rotary Foundation (Peace Center, Polio, Yearly or Permanent Fund) Enhance public image and awareness • Every quarter, report funds raised and service hours spent by every Club

Club Goalsfor 2018-2019 Club Goals: Support and Strengthen Clubs • Net increase of membership at least by one (you set the goal) (Challenge every Rotarian to bring in one new member in one year) Focus and increase humanitarian service • Club to participate in at least one Global Grant Project • Every Club member contributes to The Rotary Foundation Enhance Public Image and Awareness • Every quarter, report to AG, funds raised and service hours spent by every member

District Support for Objectives 1 & 3 • District Membership Team and AGs will work with Clubs that can’t meet basic Rotary Requirement and with Clubs with member retention issues • District Club Growth Committee will work with AGs to create two new clubs (one in VT and one in NH) • Every quarter, funds raised and service hours spent by every Club will be aggregated & published in all local news media/Website/Facebook/District News Letter • Two Gala events during Governor’s official visits (VT and NH) • District wide ROTARY WEEK celebration • Promote Rotary Automobile License Plates (VT & NH) • PA Committee needs Chair Persons: • District Membership Chair • District Club Growth Chair • Communications Chair • Gala Events Chair • District Rotary Week Chair • Rotary License Plates Chairs (VT & NH) • District Goals: • Support and strengthen Clubs: • Net membership increase of 60 & add two new Clubs • Focus and increase humanitarian services • Every Rotary Club participate in at least one Global Grant Project • Every Rotarian contribute to Rotary Foundation (Polio, Yearly or Permanent Fund) • Enhance public image and awareness • Every quarter, report funds raised and service hours spent by every Club 7

  8. District Support For Objective 2 Focus and increase humanitarian services: We do this function very well: Our District raises and gives away for charities over two million dollars a year. Two areas we need emphasis: • Every Rotary Club should be encouraged to participate in at least one Global Grant Project • Every Rotarian is encouraged to contribute to Rotary Foundation (Peace, Polio, Annual or Permanent Fund) District Support System: • Global Grant Projects Support Chair & Team • District Global Grants Chair (PDG Rick Manganello) • District Goals: • Support and strengthen Clubs: • Net membership increase of 60 & add two new Clubs • Focus and increase humanitarian services • Every Rotary Club participate in at least one Global Grant Project • Every Rotarian contribute to Rotary Foundation (Polio, Yearly or Permanent Fund) • Enhance public image and awareness • Every quarter, report funds raised and service hours spent by every Club

President’s Plan for the Year Post PETS: • Develop a Club Plan (Club Goals) that supports District Objectives and goals Support and Strengthen Clubs • Net increase of membership at least by one (you set the goal) (Challenge every Rotarian to bring in one new member in one year) Focus and increase humanitarian service • Club to participate in at least one Global Grant Project • Every Club member contributes to The Rotary Foundation Enhance Public Image and Awareness • Every quarter, report to AG funds raised and service hours spent by every member • Get your Executive Team, BOD, Committee Chairs are in place for your year & review Club Plan with them • Enter your club goals into RI Database

As a President: • Club Plan: Review with and buy-in from your Executive Team, BOD, Committee Chairs and Club Members • Review the Club Plan Progress once a month with the Club membership and Assistant District Governor (Club Assembly) • Celebrate club’s accomplishments (At District Gala Event and at Rotary Week)

President’s Club Management Essentials As President-Elect: • Familiarize with your Club Bylaws (Constitution) • Get your Executive Team (VP, Treasurer, Secretary), Committee Charis and Board of Directors for your year are in-place. • Finalize Committees and its chairs for your year • Familiarize with Club’s reporting requirements • Create an account on Rotary.org • Enter your Personal information and Club Goals at Rotary.org • Familiarize with Learning Center (online courses) • Learn how to access various Club level reports • Explore various creative ways to run club meetings • At least visit two other clubs

President’s Club Management Essentials As President-Elect (Contd..): • Make a list of all the District’s important dates for your year: • PETS Seminar March 8,9, and 10th • District Assembly Training – April 7, 2018 (Hopkinton HS) • District Conference –June 1-3, 2018 • Rotary International Conference –Toronto, June 23-27, 2018 • DG Passing of the Gavel – July 2nd. Wallingford, VT • District Governor Visit to BOD meeting & Club Meeting • District Gala Event/Foundation Expo/Rotary Week • Work with Treasurer to establish Budget for your year

President’s Club Management Essentials As President: • Review your Budget with Club Officers and approval by BOD • Make Club Meetings lively; use the first meeting for Installation • Dedicate a Club Meeting for DG’s visit and highlight your Clubs accomplishments • Once a month organize a Club Assembly – opportunity for Committee Chairs to present the Committees’ status • Delegate: • Club Secretary to: • Track Club attendance and report changes to RI • Track service hours of Club Members & provide that data to AG ever quarter • Club Treasurer to: • Pay RI Dues and District Dues on time. File IRS 990 Tax Return by November 15 • Track funds raised and funds disbursed & provide that data to AG ever quarter • Multi-Media Chair to maintain a simple but timely website/Facebook

President’s Club Management Essentials As President (Contd..): • If you are already not one, create a Four Way Test Debate Club (Please contact Rotarian Maureen Mooney - maureencmooney@gmail.com) • Actively participate in your club’s fund raising activities • Before December of your year, oversee an election of Club Officers and Board of Directors • For all your Club Events, assess and mitigate Risks • All US Rotary Club are automatically covered by General Liability and Directors and Officers/Employment Practices Liability Insurance arranged by RI

President’s Club Management Essentials RI Policy Changes Worth Noting: • Determine best day and time for Club Meeting • Change or Cancel a meeting • You may count service projects & social events as Club Meetings • Choose whether: • Meet In-person • Meet on-line • Alternate between in-person and on-line or both at the same time • You want to meet four times a month, three times a month or two times/month • Amend Club Bylaws to reflect your decisions

President’s Leadership Essentials Working with Your Club: • Get a buy-in from your Leadership Team (Executive Team, BOD, and Committee Chairs) for your “Club Yearly Plan” • Create time for yourself to be a cheerleader by Delegating: • Club Secretary to: • Track Club attendance and report changes to RI • Track club service hours & provide that data to AG ever quarter • Club Treasurer to: • Pay RI Dues and District Dues on time. File IRS 990 Tax Return by November 15 • Track funds raised and funds disbursed & provide that data to AG ever quarter • Webmaster to maintain a simple but timely website/Facebook • PR Chair to make preparations for Gala event and Rotary Week

President’s Leadership Essentials Working with Your Club (Contd..): • Empower the Club Committee Chairmen • As a President and Chairman of BOD, ensure Club By-Laws are implemented • Ensure the new members inducted meet the Rotary criteria (Adults who have demonstrated good character, integrity, and leadership; have a good reputation in their business, profession, and community, and willing to serve in their community and around the world) • Get to know your local community leaders (Selectmen, State Representatives, School Superintendent, Police Chief, etc.,) • Ensure the invited speakers represent Rotary and your club’s ideals

President’s Leadership Essentials Working with Your District: • Working with AG, be an interface to District Leadership • Provide AG, on quarterly basis: • Funds raised • Funds disbursed for charities • Members Service Hours • Work with AG to collaborate with other clubs in fund raising events • Enroll and complete three parts of Rotary Learning Institute (RLI) • Encourage Club leadership and Members to attend RLI • Recognize and encourage members to Club & District leadership roles

Membership Development Essentials We will try a different way in 2018-2019 Club President Function: • Sets a goal & encourage every Rotarian to bring friends to Club Meetings • Implements Member Retention strategies: Rotarian saved is Rotarian gained • Challenge Members to bring in at least one new member in one year District Membership Committee Function: • District Membership Committee will work very closely with District Public Awareness Committee and has a different emphasis • Membership Committee will : • Help Clubs that are not functioning to the basic Rotary requirements • Work with Clubs that are struggling and have member retention problems • Identify towns in NH and VT that do not have Rotary Clubs and initiate new Clubs

Promoting Rotary Essentials Promoting the Club: • Cultivate relationships with local media & serve as a spokes person • If you are a club struggling or has member retention problem, work with District Membership and Public Awareness Committees • Provide, on regular basis, Club’s Community Events to sponsors, civic & business leaders (Club News Letter) • Update all Club members, on regular basis, with the Club’s Community activities(Club Assembly) • Use print & social media to make community aware of Club’s activities • Help prepare for Club’s Rotary Week • Help prepare for Club’s participation in Governor’s Gala Event

Promoting Rotary Essentials Promoting the District: • Provide local media contact information to District PR Committee • Provide District PR Committee, on quarterly basis: • Funds raised • Funds disbursed for charities • Members Service Hours • District PR Committee will be combining all the clubs achievements and will be publishing, on quarterly basis, in all the clubs’ local news media • Participate in District Gala Event • Participate in District Rotary Week

Rotary Foundation Essentials GLOBAL GRANT QUALIFICATION AND STEWARDSHIP What Districts Must Do to Participate In Global Grants: • Complete an on-line application process • Sign an MOU in which they agree to follow and implement the financial and stewardship guidelines • Conduct a grant management seminar as part of the qualification process for clubs.

Rotary Foundation Essentials GLOBAL GRANT QUALIFICATION AND STEWARDSHIP What Clubs must do to participate in Global Grants: • To be eligible to apply for Global Grants, Clubs must send one or more members to the District’s Grant Management Seminar • Sign and adhere to the Club Memorandum of Agreement (MOA) • Fulfill any additional qualifications required by the District

Rotary Foundation Essentials Grant Application Process: • Once a Club is qualified, Club should establish a Global Grant Team • Global Grant Team should work with the District Global Grants Committee Chair to submit on-line application through “Grant Central” at Rotary.org • The Rotary Foundation accepts the Global Grant Projects on a rolling basis through-out the year Reporting: • Submit a report 12 months after receiving the grant • Submit a report every 12 months after that • Final report within two months of project completion
