  3. Financial Management(Purpose and Scope) • Purpose: Implement a COTS ERP financial management system to replace VDOT’s FMS II application AND establish a base ERP (GL + AP) solution for the Commonwealth • Scope • Part 1: Replace VDOT’s FMS II system • Part 2: Implement VEAP “Base” solution

Data Standards(Identifying and defining enterprise data at the logical level) • HB 30 required by 1 October 2008 • Shared data defined for Budget, GL & AP implementation of statewide applications & VDOT • Shared data from eVA required for AP, Inventory, Projects module integration • Shared entities – Employee, Vendor, Addresses, Controlled Assets etc • Eventually all data that must be exchanged among agencies • Priorities Set by Application Deployment Schedule • Real Estate & Leasing Data • Others?

Application Portfolio (Status) • Multi-phase effort • Phase I: Application inventory • Phase II: Larger Enterprise Architecture effort • VEAP and VITA EA identifying ~ 30 data elements for each application • DSS, Tax and DMV piloting initial efforts • Pilots to be complete by July 18th • Utilizing application data obtained in the 2003 due diligence • Basic application costing information will be obtained on HR systems • Estimate Phase I completion for Executive Branch agencies by 17 Oct 2008

Application Portfolio (Next Steps) Develop a browser-based update mechanism for Agencies VITA EA’s System Architect program will be the authoritative source for all Application Information Develop Interfaces with ProSight, System Architect, agency update tool and VITA/NG configuration management system

Application Portfolio(Summary) • Goal: Application portfolio management becomes continuous instead of a bi / tri-annual event • VEAP is seeking 1-2 agency volunteers to assist with the Application Portfolio • Assist gathering and compiling results • Represent agencies • Interpret returned results • Provide continuity during vacation season

BI Summit (Key Highlights) • Collaborative VEAP / Executive Agencies meeting • First Step in a collaborative effort for establishing a Business Intelligence Competency Center (BICC) • Designed to invoke discussion and solicit input and feedback • Designed to encourage participant interaction and provide participants with an opportunity to express their expectations for the future of BI in the Commonwealth • Tomorrow from 8:30 to 12:30 at Patrick Henry (East Reading Room) • Over 50+ planning to attend – but still some seating available ( contact almeater.alston@veap.virginia.gov if desiring to attend)

BI Initiative (Update) • Business Intelligence Tools RFP • Negotiation Phase has been entered • BI Efforts with Agencies • Have been meeting with DPS division of DGS • Have held initial discussions with DMV TREDS team regarding potential use of BI tool for this project • Establishment of BI “Sandbox” Environment • Working with VITA to establish environment for quickly standing up / exploring capabilities of toolset about to be procured

  18. ECM (Governance) • Establish a Commonwealth ECM Steering Committee • Multi agency executive level representation • Invitations to participate to be sent in July • Role of the ESC • Provide strategic guidance on ECM • Oversight of ECM Shared Services • Establish an ECM Center of Excellence

  19. ECM (Center ofExcellence) • Maintain library of ECM implementation standards, best practices, & re-useable components • Provide support for ECM implementations • Future plans are to staff ECM COE with an ECM architect and PM(s)

  20. ECM (Shared Services) • Provide basic ECM services to agencies that cannot justify a full agency ECM implementation • Administered by DEQ • Leverage existing DEQ ECM infrastructure and expand upon it as needed • Scheduled to be available Fall/Winter 2008

  21. Human Resources • Establish working group of agencies, DHRM and VEAP in July/August • VEAP/DHRM POC is Pam Watson
