Organization Indirect Approach
Introduction Dear Mr. Allred: PolicyPlan Insurance Services has had a cleaning contract with Midwest for the past five years. We experienced a mutually beneficial relationship for the first four years of the contract. In the past year, I’ve addressed concerns regarding the decline in the level of service. I was assured services would improve. However in the last month, my staff found a total of twelve spills and chemicals left in the hallways.
Negative News In addition, on Thursday, March 21st after the cleaning crew left the lobby doors were left unlocked. Our facility was vulnerable to theft from midnight to 8 a.m. Friday morning. Due to the continued decrease of service we have decided not to renew our annual service contract for the upcoming year.
Closing On our last cleaning day, March 29th please have the cleaners leave the keys in the drop box at the receptionist desk. If you would like any suggestions on how to improve the service level, please contact me. Sincerely, Winston Rutherford III Owner (570) 555-5555 ext . 198
