Northwestern UniversityBusiness Intelligence Solutions Reorganizing Public Folders
New Version, New Possibilites • New Features • Packages can now be placed inside another folder. • Packages and folders can now hidden • New Possibilities • Simplify navigation for the users • Easily hide objects from users without affecting the usage
A new cleaner public folders • Each project can be given a single folder in the root of public folders • All project reports and packages will be in their project folder • A robust subfolder structure can be created within this project folder
Example Project Folder • A simple example including a hidden folder
Design considerations • Hidden items still show up in searches • Users still need traverse rights on the parent folders containing the packages • A bug in the package selection navigation screen in the studios prevents the next page buttons from working in anything but the root of public folders • This means if a subfolder has more than the default number (15) of items the user will not be able to get to the next page • They can use the search to find the package • They can navigate to the folder in Cognos connection before launching the studio • You can limit the subfolder to show no more than 15 items in a single folder
Demo of bug Live Demo
How to move it • How to move items to the project folder • Click the checkbox next to the items you wish to move • Click on the cuticon • Navigate to the folder you wish to place the items • Click on the pasteicon • The hidden property • The hidden option is found in the general tab of properties called ‘Hide this entry’ • The hidden option is restricted to report authors and folder administrators
Possible issues with moving packages. • Moving packages does have potential risk. • There is no undo only a full restore from backups. • Report objects could loose the package. • There is no message saying success or failure.
