  1. Policies and Procedures to control the maintenance of computer systems.

  2. Introduction With in this presentation. I will talk about the importance of having company policies and procedures to control the maintenance of computer systems.

  3. Why we need polices within the company • A policy is a set of actions that are carried out by a person or company, from a set of guidelines e.g. It is company policy for all members of staff to be treated fairly. • The reason why we need company polices within our company include:- • To keep costs down within the company during the repair of any machines • To satisfy customers and members of the staff • To make sure tasks are carried out to the best of the companies ability • To make sure tasks are being carried out safely

  4. Why need procedures within the company • Procedures within the company are a set of actions put in place within a company. These are followed by the company in order to achieve a positive output. • The reason why we need company procedures consist of :- • How we approach a fault that has been reported • To try and save the company and the customers money • To look after the customer

  5. Why have the polices been put in place? Within the company the main policies of which we have to follow consist of – Costs Reputation Resources available Staff satisfaction Examples where polices could have been used. Consist of where things have failed whena customer has reported a machine with a fault, and the motherboard has failed on it. The technician then decides to replace the motherboard although the machine is 5 years old, The cost of a replacement motherboard is £150.From the price it can be more cost effective for the company to purchase a new machine, with a better specification. This can be an example of the costs policy which the company has stated within the company policy.

  6. Why have the procedures been put in place? Within the company the main procedure of which we have to follow is called a systematic approach. This is where we follow a set of steps to try and diagnose the fault quickly and effectively. As a consequence of this we are firstly saving money on staff time, but still making a reasonable profit as well as finding what the fault is more quickly. At the same time the customer knows they are still getting a good level of service to which they have already had. An example where a procedure could have been used, is where things have failed. An example of this is when a customer has reported a fault on a machine, and a technician has gone out to fix the machine and gone inside the actual computer, to diagnose the fault straight away. Then damaged more components that where working correctly. The systematic approach procedure could of reduced the damage of the other components, that where functioning properly before fixing the fault.
