What is DocuSign? -- DocuSign is a web-based electronic signature and workflow management application. --It is becoming the campus solution for signatures and will significantly speed up processes that require signatures. -- The current process of printing a form, signing it, scanning it, and then emailing it takes up too much administrative time and decreases efficiency.
How is DocuSign being used so far at UCSF? 1. Business Processes • Subcontract invoice pilot with Controller’s Office & research departments • HR Retired Rehire web form process • ITFS exemption forms • IT Security – Encryption Variance Request forms • IT Procurement for Mission Bay Hospital 2. Signing documents on an individual basis
Accessing DocuSign • DocuSign is accessible via MyAccess • Either through the MyAccess landing page or at www.docusign.net, which will redirect you to MyAccess to log in • A new account will be created upon first log in to DocuSign via MyAccess • This account will allow you to sign documents and view tracking statuses of the documents • To upgrade to a Sender account, submit a ServiceNow ticket. • (We are working with DocuSign to develop a system for all newly-created accounts to automatically have sending privileges)
How to get started with DocuSign: • Document your current business process • Learn about DocuSign functionality and begin process of converting current process into DocuSign process – see DocuSign page on it.ucsf.edu 3. Create template for business process and test it • Communicate workflow and signing changes to all senders, signers, and other recipients • Go live with new DocuSign process
