You should first check with your division office to determine whether they are developing and maintaining recruiting authorization templates For specific positions If so, division staff will forward the appropriate template to you. If not, contact your Employment representative who will forward you a template.

  8. RecruitMAX: Frequently Asked Questions • How do I know the Recruiting Authorization is going to • the right person in the review process? The Employment Department has input the appropriate approvers for each hiring manager into the system. Each division will assist Employment in ensuring these designations are accurate and will advise when either temporary or longer term changes must be made.

  9. RecruitMAX: Frequently Asked Questions What happens if an approver is on vacation or travel? The division office or the Employment Department will be able to make that change as soon as the information is received.

  10. RecruitMAX: Frequently Asked Questions How will I know when the position has been posted? You will be able to check the ‘Career Opportunities’ page on the lab’s website. The position will be immediately posted as soon as it is approved.

  11. RecruitMAX: Frequently Asked Questions How do I return rejected candidates to Employment and get interviews with those I want to see? Applicant resumes are sent electronically to the hiring manager for consideration. Once the resume is reviewed, he/she selects a new activity from a drop-down list (e.g., No Interview-experience too limited). This activity is made a permanent part of the applicant’s history profile. If you wish to interview the applicant, select “Schedule Interview” from the drop-down list and inform your administrative support person to arrange an interview. (This procedure remains unchanged.)

  12. RecruitMAX: Frequently Asked Questions Will applicant interviews be evaluated through RecruitMAX? No. Interviewee evaluations will still be handled using the SURA/Jlab Employment Interviewee Evaluation form.

  13. RecruitMAX: Frequently Asked Questions Will internal candidates apply for positions thorough RecruitMAX? Yes. Internal candidates can apply via the lab’s website. Click on the Employment link to access the Internal Job Postings link. Internal candidates must also submit a ‘SURA Application for Posted Job Vacancy’ form.

  14. RecruitMAX: Frequently Asked Questions How is a keyword search initiated? You can identify keywords on the recruiting authorization (aka requisition or template) or in discussions with your Employment Administrator. These keywords can then be used to initiate a search among resumes.

  15. RecruitMAX: Frequently Asked Questions Will I be able to request a search of candidates who applied for a similar position over the last six months? The RecruitMAX candidate database will be populated from the time the RecruitMAX system goes “live.” Employment will be able to retrieve information on those candidates from then on.
