For those who do not like your clinic, there are sometimes (not always) legitimate reasons for the negative feedback. It could be the therapist, feeling rushed, dirty clinic, or open-air treatment. As you have heard many times, one bad review can outweigh 100 good ones. It is important to look at the negative feedback and see if something can and should be corrected. One clinic kept receiving bad reviews about the cleanliness of their facility, and they couldn’t understand why because it was clean. Then someone mentioned that the walls were dirty. They changed the color scheme of the clinic, and patients started praising how beautiful it was (true story). Now let’s talk about the survey itself: You want something that is clearly understood (nothing complicated). You want something that is short and to the point. You want something that is standard (you don’t want to keep changing it). You have a consistent grading score to keep track of. You have a couple of open ended questions.  Have you ever noticed those surveys that score anything less than perfect, and they want to know why? You and the clinic need to keep track of the scoring and comments consistently. You can pay for someone to run this or do it yourself. Same with the creation of the survey. If you decide to do it yourself, you can do the survey without much cost. Some clinics give the patient a survey on the way out the door, yet others have a short survey they fill out on a tablet upon leaving the clinic. You must give the opportunity to be totally anonymous if you want accurate results. Your Goal should be to increase the clinic’s exposure to more people in need of rehabilitation by looking to increase the clinic’s Total Quality.   The questions you ask should center around this subject. Sample questions: Were you satisfied with the therapy you received? Did the therapist show compassion and care towards your treatment? Was it easy to make an appointment? Did the facility meet your expectations? Use a scale from 1 to 5 in the rating system. This is a scale number that is often used by NCQA in a scaled rating system. By using this, you may do double duty if you have to report this to a provider. I would also ask a couple of open-ended questions near the end to help with your Total Quality assessment of your clinic: What does our clinic do especially well? What should our clinic do to improve? When putting your whole survey together, make sure to involve your staff. The more they are involved, the more they will be able to help patients fill it out. Finally, you will need to analyze these results from your practice management software and use them to improve your clinic and make sure it stays a top quality clinic.
