New Features • Main Menu – The main menu is reorganized and easier to use • Change Status – Changing your status is now available from the Main Menu • Auto-Play – Automatically plays new messages when you log in • Slow Down or Speed Up Messages – During message playback, slow down or speed up messages as you listen • Out of Office Greeting – Set a temporary greeting with a return date. A temporary greeting will not delete your standard greeting. When deactivated reverts back to your standard greeting • Announcement Only – Allows you to play your greeting to callers but does not allow callers to leave a message (This might be helpful if your out of the office for an extended period of time) Communité MIC 3.0

Access Communité MIC Voicemail • Phone Access Numbers • Internal Press the MESSAGE KEY on your phone or dial the access numbers below: • Coral Gables: 8-3888 • Miller School: 6-3888 • Rosenstiel (RSMAS):   5-3888 • Kendall Medical Center:    4-3888 • UM Hospital:   2-3888 • Satellite Locations:  2-3888 • Bascom Palmer: 7-3888 • External • Dial305-284-3888 (Gables) or 305-243-3888 (Medical) • Enter your mailbox number (your extension) + # • Or dial your own phone number and press * when you hear your greeting • By Web - www.voicemail.miami.edu Communité MIC 3.0

Communité - MIC Passcodes • Your initial passcode is provided by a System Administrator. • To obtain a new Communité – MIC passcode contact the IT Service Center at 8-6565 Option 2 • To change the Communité - MIC passcode go to www.myum.miami.edu & log on with your CaneID & passcode. Click on “Voicemail Information” located under the “Personal & Biographical Info” in the lower right corner of the MyUM home page: Communité MIC 3.0

  7. 1.1 Voice Messages During voicemail message playback, press any of these keys: • 1 Replay voicemail message • 2 Forward message to extension • 3 Play envelope information (date/time & phone number) • 4 Slow down voicemail message playback • 5 Reply to voicemail message • 6 Speed up voicemail message playback • 7Delete this message, play next • 8 Skip to next message, keep current message as New • 9Save current message • # Go to end of message • 0 Repeat options Communité MIC 3.0

  8. 1.2 Managing Faxes During fax message playback, press any of these keys: • 1 Receive fax • 2 Forward fax to extension • 3 Play envelope information • 6 Play text in fax message body • 7 Delete this fax, play next • 8 Skip to next fax, keep current fax as New • 9 Save current fax • # Go to end of message • 0 Hear more options or Repeat short list of options To view the fax go to the MIC web page at: www.miami.edu Download the fax to your PC, (right click on the file name and save it to your computer) Communité MIC 3.0

Outbound Interactions • 1 Send a message • Send messages to other voicemail users • 2 Place a call • On Network – you can dial phone numbers that are on the 5 digit dial plan • Off Network – you can dial numbers that are part of the extended local calling area (Key West to Sebastian) or to a toll free number Communité MIC 3.0

  10. 3 Status Menu Plays your current “Status” to callers. Press 3 to change your status • 1 Available • 2 Away from Desk • 3 At Lunch - return time • 4 Do Not Disturb • 5 Gone Home • 6 In a Meeting - return time & date • 7 Out of the Office - return time & date • 8 Out of Town - return time & date • 9 On Vacation - return time • + Working at Home Enter the time in military format. For example, 0830 (8:30am) or 1700 (5:00pm). Communité MIC 3.0

Personal Options • 1Manage Personal Prompts • 1 Record your Standard greeting • 2 Hear your Standard greeting • 3 Record your Out of Office greeting • 4 Hear your Out of Office greeting • 5 Record your name • 6 Review your name • 7 Deactivate/Activate Out of Office greeting • 9 Deactivate/Activate Standard greeting • 2Change Passcode A valid passcode contain 4 – 10 digits. • Enter your new passcode followed by #. • Enter your new passcode once more to confirm. Personal Options continued • 3Playback Options 1 Set Prompt Level • For verbose (all prompts) mode, press 1 • For brief mode, press 2 2 Sort messages • To hear oldest messages first, press 1 • To hear newest messages first, press 2 3 Play high priority messages (plays before other messages) • To activate, press 1 • To deactivate, press 2 Communité MIC 3.0

  13. Personal Groups If you regularly send messages to the same group of Communité - MIC users and/or personal contacts, this can save you time. You can use personal groups to broadcast voicemail messages or forward voicemail messages, and faxes to the members of these personal groups. Choose from these features: Add New Personal Group Review Personal Groups Delete Personal Groups Return to previous menu Communité MIC 3.0

  14. Register for Communité - MIC Web Access • To use the Communité - MIC Web Access you must first register & “claim” your mailbox. Go to www.myum.miami.edu & log on with your CaneID & passcode • Click on “Voicemail Information” located under the “Personal & Biographical Info” in the lower right corner of the MyUM home page: Communité - MIC 3.0

  15. Check Messages by Web Once you have “claimed” your mailbox you can go to the Communité MIC Access page at www.voicemail.miami.edu Communité MIC 3.0

Check Messages by Web Once you have accessed the page you may: • Listen to and delete voicemail messages • View and manage faxes • Set your “Status” • Change your passcode • Add an Operator Number (“0” Option) • Create custom greetings (text to speech) • Create rules such as Forward or “Follow-Me” • Create Personal Groups Communité MIC 3.0

  17. Web Basics • Mailbox – Listen to, reply to or forward voice mail messages. Return calls, manage your Inbox and retrieve faxes • Rules - Create custom rules that trigger when certain conditions are met, such as who is calling, time of day, and your current status Communité MIC 3.0

Web Basics • Address Book: • Personal Groups – you can use personal groups to broadcast voicemail messages or forward voicemail messages and faxes • Personal Contacts – allows you to add non-MIC users. You can dial personal contacts, forward messages, and add them to personal groups • MIC Directory - allows you to search for MIC Users by name or telephone number Communité MIC 3.0

Web Basics • Options: • Forward Fax–sends faxes to a designated fax machine after it sends a copy to your Inbox • Telephone Interface– control prompts, set greetings, prioritize messages and message information play back • Operator Target Number - is the number a caller is transferred to when they press '0‘ while listening to your greeting • Change Passcode – change your Dial-inpasscode Communité MIC 3.0

  20. Mailbox • Double click on the message subject line to • Listen to, reply to or forward voice mail messages. • From this page you can also: • Delete • Mark messages as Read or Unread • Clear your Message Waiting Indicator Communité MIC 3.0

  21. Mailbox Message • Play Messages - click the play button to listen to your message. Communité MIC 3.0

  22. Mailbox Message Reply - • Choose the number at which the system should call you to record your reply • Click Record/Send • When the system calls the telephone number, pick up the telephone and record your reply Communité MIC 3.0

  23. Mailbox • Forward -messages to other MIC Users, Personal Contacts or Personal Groups • Type Namein the search box • Send your message with or without comments • Select Send Communité MIC 3.0

  24. Mailbox Message Return Call – • Type the number you want to call • Choose the number the system should call you at for the return call • Click Initiate Call Communité MIC 3.0

Create a Rule • The next few pages are examples of a Rules template. • Create simple or complex rules that trigger when certain conditions are met, such as who is calling, time of day, and your status. • Please refer to the online videos for further instructions at www.miami.edu/network Communité MIC 3.0

  28. Type temporary greeting you would like played during this interval. Please note: You must change your status before and after the designated time. Communité MIC 3.0
