Ian Smith, DPC • Can we have a demonstration on how to search across multiple PDF documents? • FAST recommends that clients receive Masterpiece reports, Vendor Audit reports, etc. as a PDF attachment to an automatically-generated email (from SYS1). • The PDFs should be saved to an appropriate directory and stored on the network. MP
Ian Smith, DPC • Can we have a demonstration on how to search across multiple PDF documents? • Benefits of storing related PDFs in a suitable network directory. • Available to all users that have access to that directory • Very easy to search across all of those PDFs • “Demonstration”. MP
Searching multiple PDFs • Open Adobe Reader (DPC is currently using version 11.0.6). • Under the Edit menu, select Advanced Search. • Under Where would you like to search?, select All PDF Documents in • Using the drop down list, select Browse for Location… MP
Searching multiple PDFs • Navigate to the directory where your reports are stored. • Enter the text you wish to search for e.g. a Journal Number. • Click on Search. MP
Searching multiple PDFs • By clicking on the + sign next to a document, the instances of the text will be displayed. • Click on the instance that you want to examine, and the PDF will be opened to that page and the instance will be highlighted. MP

Kym Beckman, CAA • With the expanded use of Data Warehouses for storage of historic data, is this considered the appropriate medium for an archive record of purged MP records • It is the recommended option. • However, the designer of the Data Warehouse would need to have a good appreciation of the Masterpiece tables being purged and how they inter-relate. EM/MP
Kym Beckman, CAA • The Data Warehouse would need to have appropriate tables and fields defined to store the relevant Masterpiece data. Or do you just extract all fields from all tables being purged? • The hardest thing to determine is whether the Data Warehouse has the right data to be able to answer future queries and provide relevant reports, if required EM/MP
Kym Beckman, CAA • In the past, some agencies used the SALMAT (formerly HPA) Computer Output on Laser Disk (COLD) process to store and access their archive reports. • This technology is quite old now and I am not sure if the software works on Windows 7. Another reason not to use it in the future is that SALMAT’s tape drive is broken so it is harder to get the data to them for processing. EM/MP
Kym Beckman, CAA • An simple alternative to both COLD and Data Warehousing is to create a report data set when running an archive job (SYS1). This report data set can then be FTP’d to the network and burnt to a CD/DVD for posterity. • Whilst this option doesn’t provide indexing like the COLD software does, modern search engines can usually find what you want relatively easily. Kym Beckman, CAA • Another alternative is to create a report data set (on SYS1) and request FAST IT to email it to you as a PDF attachment. • Searching can be performed across multiple PDFs stored in the same directory. EM/MP

GL323A From GL323, select range of Journals to summarize. Note that GL323 can also be used to change the journal period if the wrong period was entered to previously TF
GL323B These are the journal header output options available within GL323. Different Journal ids, period etc. TF
GL323C Select range of accounts to Summarize or not to Summarize. Can also use Account Masking feature. The option shown will summarize all accounts except for NLTEST1 – Omit is set to “Y”. Accounts can either be selected by account type code, account number, or both. All accounts are selected if no range. TF
GL353A Select batches and Schedule Journal Summarization process. Same as Scheduling journals using GL350. TF
GL321B Same Journal with accounts summarized, except NL-TES-T1. N-LT-EST3 N-LT-EST6 are now summarized and N-LT-EST7 remains the same. TF
