  3. Introduction The HCA lease-end dashboard reporting focuses on providing valuable reporting and analytics to monitor customer behavior and trends at lease-end for: HCAand HMF. The lease-end reporting introduces automation that allows HCA to view forward-looking trends, track customer behavior, and track customer intent; all which supports: Retention of lease-end customers OEM/dealer sales Valuable reporting for Voice of the Customer (VOC) initiatives (coming soon)

Reporting Page Once you’ve entered the portal, select the “Reporting” tab along the top banner: Your Reporting page will include all available reports for the following sections: Lease Retention Performance Reports Lease Maturities Reports Voice of the Customer Reports (coming soon) Data for reporting currently dates back to January 1, 2009 Your credentials will dictate if you have “HCA Combined View” or “HMA” only. This will determine the types of reports and data you are able to view.

  15. Report Selections A. View Report Allows the user to customize the selected report, based on a number of available parameters. B. Sharing Send a custom report to an email address, with subject line and message, in a number of formats. C. Subscribe Have a report sent to you automatically on a recurring basis to any email address. D. Download Export your report results to a number of formats, including Excel, which includes the applicable data set(s). A B C D

Understanding the Parameters Parameters are found in the “View Report” selection on each report: Each report parameter provides the user with the ability to filter the data that generates the reports, in order to get your desired output. Some of the parameters are associated with a smart, dynamic “hierarchy”, which when selected, alter the available values for parameters further down the hierarchy list.
  18. Parameters – List Brand– selection will affect what Dealer and Model values the user has available Starting Year Starting Month Ending Year Ending Month Region / State – selection will affect what BDM, and Dealer values the user has available BDM(only applies to Region) – selection will affect what Dealer values the user has available Dealer Lease Term Model– end of hierarchy flow, will not affect any values the user has available to them Segmentation Floor Plan Important Item of note: The “hierarchy” works in a forward direction, which means the values will only affect parameters ahead of them, they will not backfill parameters behind them. Ex: If you select a BDM as your first selection, it will not backfill the State and/or Region associated with that BDM. The user will need to make the appropriate State and/or Region selection (or leave at All) in order to run the report. If the user were to select a BDM associated with the “Central Region” first, then select the “Western Region”, and refresh the report, it will come back as “No Data Available”.

  20. Parameters – Brand By selecting one of the available values, this will change the subsequent values found in the: “Region”, “BDM”, “Dealer”, and “Model” parameter fields. Ex: Western Region will show only Western BDM’s and Dealers Values: Combined View (for HCA users only) Hyundai (Default for HMF users)
  21. Parameters – Year / Month Depending on the report the user selects, they will need to select the following date parameters: Starting Year Starting Month Ending Year Ending Month OR Year Month
  22. Parameters – Region After “Brand”, “Region” is the next parameter which affects what can be viewed in the “BDM” and “Dealer” parameter fields. Values: All five (5) HCA regions for HMF
  23. Parameters – Region (cont’d) If a “Region” value is selected, the user will not be able to select a “State” value, as there is no direct hierarchy correlation between “Region” and “State” within the data. This is due to states that are split among two regions. In this case, the “State” parameter will default to “All” State defaulted to “All”; grayed out
  24. Parameters – State At the same level as “Region”, “State” is another option for the user, which when a value is selected, will change subsequent values for the “Dealer” parameter field. Values: All 50 U.S. States, including District of Columbia
  25. Parameters – State (cont’d) If a “State” is selected the user will not be able to select a “Region” or “BDM” value. In this case, the “Region” and “BDM” parameters would default to “All” Region and BDM defaulted to “All”; grayed out
  26. Parameters – BDM After the “Region” parameter is selected, the user would then select the “BDM”. A value selected for BDM would affect values available for the “Dealer” parameter field. Values All HCA Business Development Managers (pending prior selections)
  27. Parameters – Dealer After the “BDM” parameter comes the “Dealer” values within the hierarchy. Values: All Hyundai dealers (pending prior selections)
  28. Parameter – Lease Term After “Dealer” comes the “Lease Term” parameter values. The “Lease Term” selection will not affect values found within any other parameter. Values: All lease term values (24, 36, 48, and 60)
  29. Parameters – Model After “Lease Term” comes the “Model” parameter values within the hierarchy. The “Model” is the final selection with the data hierarchy flow, but does not affect any other parameter values. This field is only affected by “Brand” within the hierarchy flow. Values: All Hyundai models for lease and retail contracts, dating back to 2009
  30. Parameters - Segmentation After “Model” comes the “Segmentation” parameter values within the hierarchy. The “Segmentation” selection will not affect values found within any other parameter. Values Platinum Plus, Platinum, Gold, Silver, and Standard
  31. Parameters - Floorplan After “Segmentation” comes the “Floorplan” parameter values within the hierarchy. The “Floorplan” selection will not affect values found within any other parameter. Values Yes or No

Refresh Button Once all parameters are selected, the user will click the refresh button in the lower right-hand corner of the parameters section to refresh the report based on the new values selected. After the click, the report will “gray out” and a “Please Wait…” message will appear until the report data refreshes.

  34. Sharing Users have the ability to share their reports with others, by sending emails directly from the reporting portal, using the “Sharing” selection. The tool allows the users to share all available formats, per the “File” drop-down menu. Once you’re done entering your information, click Send and if it was successful, you’ll see: “Email Sent Successfully”

Subscribe Users also have the ability to subscribe to reports, which sends a report to a specified email address on a recurring schedule, based on the parameters of the report and the criteria set for the schedule. Start by filling out email info just as you would with the Sharing option, then select the schedule you want the report to be delivered on.

  38. Download To export your report, once your parameters are selected, choose the “Download” selection. Click on the title of any format available; download will begin automatically. The Excel format of the report will include the applicable data set, in order to validate percentages used in the report.

  40. My Reports For users who subscribe to have reports sent to them automatically, they will be able to manage those subscriptions from the “My Reports” page. The “Action” item for the user allows them to delete these reports, should they decide they no longer want to receive them.

  51. Best Practices Scheduling Your Report Subscriptions The reporting data is updated monthly, by the 15th of each month. We recommend setting your subscriptions to pull new reports automatically on the 16th or later of each month, to give the data time to refresh. Best Practices L3A4:  Lease Retention Multi Year Shows trends of all possible retention outcomes for lease terminations as shown in the chart’s legend The dark red line shows the % of lease terminations that resulted in the customer financing their purchase of a new Hyundai or Kia with HCA The blue line shows the % of lease terminations that resulted in the customer leasing their new Hyundai or Kia with HCA The lighter red line shows the % of lease terminations where the customer subsequently did not finance or lease with HCA (Captive Defection). This could mean the customer did not purchase a Hyundai or Kia, financed it through another source or paid cash. This report can only be run for past months starting with the most current month of actual data loaded Data and graphics can be downloaded to an Excel spreadsheet for analysis, presentation, etc.

Best Practices L3A2:  Lease Retention – Model Shift % Shows renewal outcomes for same brand models including: renewal to same model for lease and retail (i.e., model loyalty), renewal to a model of “greater value” (i.e., shift up) for lease and retail, renewal to a model of “lesser value” (i.e., shift down) for lease and retail The medium blue segment of chart shows % of renewals to a lease for the same model (model loyalty) within each brand The darker blue segment of the chart shows % of renewals to a lease for a “shift up” model within each brand Shift up/shift down is based on a HCA specified hierarchy table of model values This report can only be run for past months starting with the most current month of actual data loaded Data and graphics can be downloaded to an Excel spreadsheet for analysis, presentation, etc.

Best Practices L1A2:  Lease Terminations – Actual, Scheduled and Active Shows Actual terminations, Scheduled terminations and Active contracts (i.e., Scheduled-Actual) Displays trends for past and future contract terminations For past terminations (starting with the most current month of actual data loaded), Scheduled and Actual terminations are displayed For future terminations, Scheduled terminations and Active contracts are displayed, i.e. clearly showing the impact of early terminations The dark blue line shows the Actual terminations; the dotted blue line for shows Scheduled terminations Data and graphics can be downloaded to an Excel spreadsheet for analysis, presentation, etc.
