  1. MTB-MSREGISTRATIONPROJECT There are two primary reasons why records are not inserted automatically into the database: A mismatch between the Social Security Numbers More than one record matching the search criteria We will look at different causes of the problems One at a time.

  2. MTB-MSREGISTRATIONPROJECT Problem Case # 1 The first case is when there are two pseudo SSNs. BOTH addresses andphone numbers must match Before automatic addition to the database could occur and they did not match.

  3. MTB-MSREGISTRATIONPROJECT You begin the process with with a Customer Search:

  4. MTB-MSREGISTRATIONPROJECT If there is a customer who matches your search criteria in the CI Holding file, the record will be displayed.

  5. MTB-MSREGISTRATIONPROJECT Instructions about possible actions are included at the top of the second page.

  6. MTB-MSREGISTRATIONPROJECT The question you ask is- IS THIS RECORD MY CUSTOMER? Addresses and phone numbers do not match. If the answer is yes – click the Associate Job Seeker button

  7. MTB-MSREGISTRATIONPROJECT Problem case # 2 There is one valid SSN and one pseudo SSN – Either the addresses or the phone numbers had to Match and they did not.

  8. MTB-MSREGISTRATIONPROJECT For this example we searched for a customer by the name of Ben Hogan.

  9. MTB-MSREGISTRATIONPROJECT The question you ask is- IS THIS RECORD MY CUSTOMER? Addressees and/or phone numbers do not match. If the answer is yes – click the Associate Job Seeker button

  10. MTB-MSREGISTRATIONPROJECT Problem Case # 3 There are two valid SSNs but they do not match. You will need proof of the customer’s SSN before the registration can be added to the database.

  11. MTB-MSREGISTRATIONPROJECT For this example we searched for a customer named Marian Siebert.

  12. MTB-MSREGISTRATIONPROJECT The question you ask is- IS THIS RECORD MY CUSTOMER? Valid SSN’s but do not match. You will need proof of SSN if you attach to this applicant. If the answer is yes – click the Associate Job Seeker button

  13. MTB-MSREGISTRATIONPROJECT In this case this screen will be displayed because the SSN must be verified. If you are unable to verify the SSN, this record cannot be inserted into the database at this time.

  14. MTB-MSREGISTRATIONPROJECT Problem Case # 4 More than one record matches your search criteria. The system cannot determine which record is correct So you must make the determination.

  15. MTB-MSREGISTRATIONPROJECT For this example we will search for a customer by the name of Dusta Gojcaj.

  16. MTB-MSREGISTRATIONPROJECT There are two records for Dusta and one record for Djusta. You must review the records and select the best one to Associate to the CI Holding record More than one record matches More than one record matches Possible match However, the question still is the same – Is this my customer?

  17. MTB-MSREGISTRATIONPROJECT Problem Case # 5 The SSN is used by someone with a different name

  18. MTB-MSREGISTRATIONPROJECT For this example we will search for a customer by the name of Amanda Barker

  19. MTB-MSREGISTRATIONPROJECT The question remains – Is this my customer? If the answer is yes, click on the Associate Job Seeker button

  20. MTB-MSREGISTRATIONPROJECT The next case is when the customer in the CI Holding File is not your customer. In this example you are working with the Ahmed Alotaibi in Detroit, not the one in Ann Arbor. In this case, click on the Customer Not Displayed button.

  21. MTB-MSREGISTRATIONPROJECT The “standard” search results screen will be displayed.

  22. MTB-MSREGISTRATIONPROJECT Since the search did not yield results for my customer, I need to search Talent Bank.

  23. MTB-MSREGISTRATIONPROJECT At this point I can select the customer I’m working with – the Alotaibi in Detroit. A new applicant and MS registration will be created.

  24. MTB-MSREGISTRATIONPROJECT The final example is how to deal with a customer who appears on the CI Holding File results page but who is not the customer you are working with. For this example we will return to a customer with the last name of Siebert. Except I’m really working with Michael not Marian.

  25. MTB-MSREGISTRATIONPROJECT This is when the Customer Not Displayed button is used. By clicking on that button, I will go to the search results page.

  26. MTB-MSREGISTRATIONPROJECT Since I’m working with Michael, I can select his name In the usual fashion and continue with my work.

  27. MTB-MSREGISTRATIONPROJECT Miscellaneous Information If the registration and the service are entered automatically, the “credit” will be given to the generic staff ID If the record is inserted after staff involvement, the “credit” will be given to the staff person who made the decision to insert the record. A Specific Labor Market Information service will be created when the registration is entered automatically.

  28. MTB-MSREGISTRATIONPROJECT Miscellaneous Information (Continued) If there are errors in the CI record, they can be corrected using the Update MS Registration screen Customers will be asked to update their CI information after four quarters have elapsed. If an individual has more than one resume, they will have to complete the CI information page on each resume.

  29. MTB-MSREGISTRATIONPROJECT REPORTS There are two reports currently planned for this project. The first is a list of all the customers who have records in the CI Holding File. The report will be available by MWA and location within an MWA.

  30. MTB-MSREGISTRATIONPROJECT REPORTS Accessing reports begins by going to the scrolling menu bar under the Mediated Service logo.

  31. MTB-MSREGISTRATIONPROJECT REPORTS After selecting the Holding File Report you will be able to select a report for either the entire MWA or a specific location within your MWA.

  32. MTB-MSREGISTRATIONPROJECT Clicking on the name will take you to the same display that is used when a name search is performed. The same resolution options are available once the name is selected

  33. MTB-MSREGISTRATIONPROJECT There is one extra feature that is available from this report. If you want to enter some information about contact attempts, a separate screen is available for this purpose.

  34. MTB-MSREGISTRATIONPROJECT This information is stored with the CI record and is for local use at this time.

  35. MTB-MSREGISTRATIONPROJECT The second report contains information about the number of records that are in CI Holding File and how long they have been in the file

  36. MTB-MSREGISTRATIONPROJECT Goal: The goal of this project is to increase the number of Mediated Services registrations. Objectives: Reduce staff time spent on the collection of demographic information. Simplify the One-Stop Management Information System Customer Search process.

  37. MTB-MSREGISTRATIONPROJECT Objectives (Continued) Maintain the provision of services to all Mediated Services registrants. Operate the process only for resumes entered at One-Stop centers. Prepare to meet the new federal reporting requirements. Increase the number of positive outcomes.
