  2. INTRODUCTION • Document Security is a conscious application of security measure to protect sensitive or classified information against unauthorized disclosure.

  3. CONTENT • Receiving and distribution • Dispatching • Classification • Storage • Reproduction • Removal from premises • Destruction

  4. CLASSIFICATION PROCESS • Author must classify • Labels/markings • Period of classification • Distribution list • Declassification

  5. CLASSIFICATION THREE CLASSIFICATIONS ACCORDING TO THE MISS: • Confidential • Secret • Top Secret Only last 3 remain in new legislation

  6. CONFIDENTIAL • That information Should be limited to information that may be used by hostile elements to harm the objectives and functions of an individual and / or institution when compromised.

  7. SECRET • Classification given to information that may be used by hostile elements to disrupt the objectives and functions of an institution and /or state.

  8. TOP SECRET • Classification given to information that can be used by enemies elements to neutralize the objectives and functions of institutions and /or state.

  10. REPRODUCTION • Authorization • Control over equipment • Control over copies (register, record keeping, copy numbers)

  11. IMPORTANT AREAS WHERE DOCUMENT SECURITY ARE NEEDED • Record keeping • Register for incoming post • Register for outgoing post

  12. DISPATCHING CLASSIFIED DOCUMENTS • Sealing of classified documents to be dispatched • Dispatch by courier • Dispatch by mail

  13. REMOVAL FROM PREMISES • Authorization • Record keeping (control voucher) • Secure transportation methods • Secure storage facilities (at home, hotels, etc.)

  14. DESTRUCTION • Archives Act, Act 43 OF 1996 • Authorization, Director of Archives • Certificate of Destruction

  15. CONCLUSION • Document security measures are not intended and should not be applied to cover up: • mal-administration, • corruption, • criminal actions, etc • or to protect individuals/officials involved in such cases.
