  3. Group 1100 What is data? A: refers to raw, unorganised facts, figures and symbols fed into a computer during the input process.

  4. Group 1200 What is a database? A: A database is a collection of information that's related to a particular subject or purpose, such as tracking customer orders or maintaining a music collection, or maintaining a phone book.

  5. Group 1300 What are the four components of a data base that we most use? A: Tables, Layouts or Forms, Queries and Reports

  6. Group 1400 What is a table? A: A table is a collection of data about a specific topic, such as products or suppliers. In table Design view, you can create an entire table from scratch, or add, delete, or customize the fields in an existing table. Datasheet view shows the contents after data has been entered.

  7. Group 1500 What is the purpose of a query? A: A query requests data from the database. At its simplest, a query merely fetches all data from a single table, however, can reorganise the data on request.

  8. Group 2100 What is a form (in Access) A: A form is a database object that is primarily used to enter or display data in a database.

  9. Group 2200 What is the purpose of a report? A: A report is an effective way to present your data in a printed format. It reads from either the data in a table or a query.

  10. Group 2300 What are the different field types? A: Text, number, date, time, object or container, calculation, summary etc.

  11. Group 2400 What is a field? A: A field is similar to a category. It provides a way of grouping data. Eg. Surname.

  12. Group 2500 What is the ‘primary key’? A: a field or set of fields that uniquely identifies each record stored in the table. This field can contain no duplicates.

  13. Group 3100 What is a record? A: A record is the information entered under the field category. Eg. Town = wedderburn

  14. Group 3200 What is an input mask, (Access)? A: "An input masks allows you to specify the data type of number of data entries; ;used for validation

  15. Group 3300 How do I set data entry to number only or text only. Give examples A: In Access use an input mask. eg 0 allows you to enter numerical data. L allows text A to Z ; in FMP, by defining the field to text, number, etc

  16. Group 3400 What is the purpose of a startup form? A:You can use startup options to specify a specific form to display as your database opens. This makes it user friendly and can be set to lock the user out of the rest of the database.

  17. Group 3500 Explain the meaning of a one-to-many relationship. A: A relationship is a way of linking data/information from more than one table. In a one-to-many relationship, a record in one table can have many matching records in another and vice versa.

  19. Group 4200 What field type should a postcode be set to? A: Text because no calculations are undertaken on this field

  20. Group 4300 What are the nine phases of information processing? A: Acquisition, Input, Validation, Manipulation, Storage, Retrieval, Output, Communication and Disposal

  21. Group 4400 Explain why a database is an efficient method of storing and managing information. • A: makes data entry easy by providing user friendly interface • wizards allow quick creation of forms and reports • reports and queries quickly provide data requested

  22. Group 4500 Explain why a database is an effective way of storing and managing information. • A: can be set up to limit types of entry enforcing validation and limiting human error • will always display all information requested, leaving no records out • auto-updates when knew data entered

  23. Group 5 100 What is a macro or command button? A: A macro that you build into your database which allows you to switch between components. Eg, forms and reports
