Club Administration Definition: The Club Administration means effective operation of the Rotary club and is essential for the smooth functioning of every Club, thereby making the club Strong & most Effective. Only through efficient club operations that a Rotary club can provide service to its community, retain members, and develop leaders for the Club, District, and Rotary International. Club administration is one of the five standing committees of recommended CLP, which provides administrative frame work of an effective Roatry Club. Who are responsible for Club Administration? Club Board of Directors and Officers & Club Administrative Committee.

  3. Responsibilities THE RESPONSIBILITIES OF THE CLUB ADMIN COMMITTEE Develop committee goals to achieve club’s annual goals. Organize weekly and special programs. Produce the club bulletin and maintain the club Web site. Help the club secretary track club attendance. Promote fellowship among club members. Reporting & maintaining records. Conduct any other activities associated with the effective operation of the club.

  5. Important Meetings Organized meetings that feature interesting, relevant programs will enhance member’s personal Rotary knowledge, reinforce the value of continued membership, and make members aware of their local and world community.

Important Meetings Weekly Meeting : Develop an agenda for regular weekly meeting Relate program with Club activities & members interest Schedule programs well in advance Observe special dates , weeks & months Rotate responsibility to different Rotarians to arrange programs Prepare contingency plan incase scheduled program is cancelled

  7. Important Meetings Club Assemblies : A Club Assembly is a meeting that all members attend to discuss club programs and activities. Objectives Brainstorm ideas for projects and activities Set goals Review Clubs strengths & Weaknesses Co – Ordinate committee activities Take Policy decisions AG Should preferably be present for Club assemblies.

  8. Important Meetings Annual Meeting : To elect Board of Directors & office bearers. This meeting should be held before 31st Dec. Board Meeting : Club B.O.D is the governing body & is responsible for all committee & club decisions. B.O.D meet shall be held once in a month. Its members are typically the President, Vice President, President elect, Secretary, Treasurer, IPP & Directors as specified in Club Bylaws.

Club Bulletin & Website Purpose Report highlights of club & district meetings Promote & publish club projects Provide schedule of club activities Publish articles on Rotary information & other subjects of interest to members Discuss club plans & projects. Awards District and R.I awards for Best Bulletin.

  10. Fellowship To Promote: Ensure fellowship is part of every program Appoint different member each week to welcome members, visitors & speakers. Include spouses and families in club programs Arrange joint meetings to foster fellowship with other clubs in the district.

  12. Family of Rotary The family of Rotary includes Rotaract, Interact, Inner wheel and family members of Rotarians. How you show Care? Remember and wish them on Birthdays and Anniversaries Assists when they are sick or have difficulties. Share their grief after a death in the families. To meet & greet them on special community days like Diwali, Eid, Christmas etc…

  13. Attendance How can you promote? Making members aware on attendance and make up rules By organizing variety of speakers Communicating clubs programs well in advance Recognizing members with 100% attendance Giving specific duties to members during meeting Rotating responsibility among Rotarians for welcoming of guests Inviting club members also as speakers and for classification talks

  14. Attendance How to Encourage? Promote regular attendance by ensuring that weekly meetings are relevant and interesting Devising a questionnaire to determine why members fail to attend weekly meetings Recognizing members with exemplary attendance records Assigning members to a committee or giving them specific duties to fill
