  3. What is xTrain? Web-based program allows Institutional and Agency users to electronically process and track forms/notices required for Ruth L. Kirschstein National Research Service Awards (NRSA) and other training grants: • Appointment Forms (PHS 2271) • Termination Notices (PHS 416-7) • Accessed via the NIH eRA Commons

When is xTrain Effective? • As of January 1, 2011, the use of xTrain is mandatory to electronically prepare and submit PHS 2271 Statement of Appointment forms and/or PHS 416-7 Termination Notices. • After January 1, paper appointment forms and termination notices will not be accepted.  • Paper submissions will be considered noncompliant and grantees will be required to resubmit appointment forms and termination notices electronically using xTrain.

  5. Who are xTrain Users? Institutional Employees (PI, Department Administrators, BMRA, OSP) • Create, route, and submit Appointments, Re-appointments, Amendments and Termination Notices • Track the status and timing of training actions Agency Personnel • Grants management review and to process appointments and termination notices submitted electronically

What does xTrain do? • xTrain provides PD/PI, university administrators, and trainees the ability to electronically prepare and submit forms associated with institutional research training grants, institutional career development awards, individual fellowships and research education awards: • xTrain is also used by agency grants management staff to review and process the appointments and termination notices submitted electronically.

  7. What does xTrain do? Eliminates the need for signed paper forms, except in the following situations: • Permanent U.S. residents must submit a signed and notarized statement certifying that they have (1) a Permanent Resident Card (USCIS Form I-551), or (2) other legal verification of such status • Signed hard copies of Payback Service Agreements are required for postdoctoral trainees in their first year of Kirschstein-NRSA support

What are xTrain User Roles? • BO (Business Official) - user with signature or other authority related to administering Brown University training grants & authorized submit Termination Notices • SO (Signing Official) - Brown’s SO has authority to legally bind a grantee institution for grant matters • PD/PI (Program Director/Principal Investigator) - faculty responsible for the overall direction of the training program . The PD/PI selects and appoints Trainees, amends appointments and initiates Termination Notices • PD/PI Delegate (ASST) - individual that is delegated authority to perform PD/PI xTrain training appointment functions. A user with the ASST role cannot submit appointments • Trainee - student or post doctorate who will be appointed as a Trainee on a training grant • Sponsor/Sponsor Delegate- person who mentors Fellows and can initiate and facilitate the termination of a Fellowship. The Sponsor can submit the Termination Notice for Foreign and Federal Fellowships only . Sponsor delegate cannot submit termination notices.

Types of xTrain Appointments • Trainees on Institutional Research Training Awards - T32, T34, T35, T90, TL1, TU2 • Scholar on Institutional Career Development Awards* - K12, KL2 and KM1 • Fellows on Research Education Awards* –R25 and R90 • *Appointments required per Award Notice Terms and Conditions

  10. Types of xTrain Terminations • NRSA Fellowship grants - F30, F31, F32, F33 • Institutional Training grants - T32, T34, T35, T90, TL1, TU2 • Research Education grants – R25*, R90 • *only if Appointments are required per Award Notice Terms and Conditions
