  2. Submit Short List to HRSO There are a number of way to access applications to record outcomes. The following is the most common method. Click on ‘Submit Short List HRSO’ to complete the action to release the requisition to Staffing Services for review and approval of the candidates short listed. Submit Short List to HRSO In the step ‘Submit Short List to HRSO’, the Hiring Manager/Hiring Manager Assistant moves the candidates from ‘Select Step Outcome’ to ‘All Panel Part of Process’ to allow Staffing Services to review and provide review outcomes on the Short Listed candidates. To have completed this step, the number in brackets against ‘Select Step Outcome’ must be ‘0’. If not then a candidate(s) has not been reviewed and therefore this step has not been completed.   4. Submit Short List to HRSO For this step/status you can bulk select all candidates to move them to the next step/status. After all candidates have been selected, click on the green arrow to move them to the ‘All Panel Part of Process’ status. NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WWW.DEC.NSW.GOV.AU V4. 21Oct13 3

  5. Submit Short List to HRSO You will then be provided with a grey pop-up box to complete the candidate you have chosen. Check the ‘New Status’ is correct. Comments are optional. Please note: any notes made when you are bulk moving candidates will only be entered by the system on the first candidate’s application. If you need to make comments on specific candidates you should move candidates individually instead of using the bulk move function. Do not check the ‘Send correspondence’ box. You will send correspondence to candidates at the end of the merit selection process. Check this box to *certify that all panel members have participated fully in the Short Listing process. Select Save and Close when you are finished. *If you are unable to or have a concern in making this certification, please contact Staffing Services before proceeding any further with the merit selection process.   6. Submit Short List to HRSO You will then be returned to the ‘Submit Short List to HRSO’ screen. Check all candidates have been moved to the ‘All Panel Part of Process’ status.   7. Submit Short List to HRSO Staffing Services will receive a notification from the system to review the short listed candidates. Staffing Services will now need to review and approve the Short List prior to any further action by the Hiring Manager/Convener or contact being made with the candidates to schedule the interviews. Once Staffing Services completes the review of Short Listed candidates, the candidates that have been approved will populate the ‘Interview Scheduling’ step and the Hiring Manager will receive an auto generated email from the system to advise this has taken place. Submit Short List to HRSO Should the panel recommendation be that there are no candidates to be short listed, you will not have access to the ‘Short List to HRSO’ step and will need to provide advice to Staffing Services through the ‘Request Contribution’ process.   9. Submit Short List to HRSO Once you select ‘Request Contribution’ a grey text box will appear as below. Select this icon to find the HR Support Officer you wish to contact. This would usually be the officer listed as the ‘Recruiter Assistant’ in Section 2 of the requisition. The following dialogue box will open. You can scroll through to the officer you wish to contact (Assistant Recruiter) or use the Quick Filters at the bottom of the screen to locate the name of the Assistant Recruiter for this requisition. Once located then click on ‘Select’ on the right hand side of the screen next to the officer’s name. Enter comments which need to include the panel certification statement. Click on ‘Done’.
