  3. 1. Opening screen – THE PLANNER WORKBENCH • A Planner opens Optimiza and starts on the Workbench • The workbench contains • The Planners individual processes as well as quick assess to the detailed work spaces or KPI’s that the user required • All Approvals and Exception list are easily accessible (and are easy to set up) • A Diary tasks list that reminds the Planner as to task he needs to do on any given day

  4. 2. Daily: Check exceptions screensExample: Stockout screen • Work Spaces are easily configurable as to what graphs and data is displayed. This work space (Stock-Out Screen)contains • The top 5 stocked out items. All other views are context sensitive. • A projection of the stock position • The Inventory details for the selected items • The current Supplier Orders in pipeline • The current Customer Orders in pipeline • A history of all changes made to this item in the past • Shortcuts to the detailed grid or to change the action status

Daily: Order schedule • When a planner is finished with a task, he is returned to the Workbench, were we can launch his next activity…in this case Ordering • He clicks on the Ordering Schedule Process and the Workbench automatically loads a configurable dashboard as well as the quick access list to pre-defined Work Spaces i.e. Todays order list or Orders awaiting approval • A click on Review Orders will show the order schedule

Daily: Order schedule • The planner would have the list of all recommended orders and can either amend the Confirmed Order Quantity, the Supplier or Delivery date manually. • The system will keep track of changes and compare in KPIs changes made. • The planner can either export directly the orders by clicking the export button or waiting for approval from the manager.

  7. 4. weekly/monthly: forecasts review • When planner is finished with the Ordering Task, he is returned to the Workbench, were he can launch his next activity…Let’s explore the Demand Planning.

  8. 4. weekly/monthly: forecasts review • Optimiza has extensive forecasting functionality • (Tournament forecasting, Hierarchical Forecast, Promotions Management, Transactional Review) • The system allows for multi demand streams (Sales, Dependant Branch demand, BOM/KIT demand) • The system can be filtered and configured to display the worst preforming items in descending order • A planner can amend any forecasts either manually or by changing the method. • The planner can identify events which are automatically refreshed on the graph. • All Amendments are recorded for future Auditability

Changes to forecasts • Optimiza can hold an unlimited number of forecast per part • (Statistical Forecasting, ERP System Forecast, Previous Months Forecast attempt, Customer forecast, Budgets) • It is very simple for a user to select which forecast he wants to use for planning • Optimiza can also monitor changes to the forecast if for example a customer sends you an EDI update of the forecast. • All Amendments are recorded for future Auditability

  10. 5. monthly: classification review • The Classification Review has multiple sub processes to make sure the planner will look at all aspects of classification. • Let’s take the example of Pareto B-F Review.

  11. 5. monthly: classification review • The Pareto category can be set up to change automatically once a month based on User defined riles, but it can also be amended manually (and Frozen) with a dropdown if needed.

  12. 6. monthly: policy review • The planner can review the Policies at a line item or macro level using 2 main tools: Scenarios and Forward Plan. • The scenario capability becomes very interesting because it will be possible to model changes within the tool without committing to live. It is possible to share the scenarios with colleagues.

  13. 6. monthly: policy review • One of the key review areas will be how the safety stock are set. In order to generate this safety stock Optimiza uses 7 key inputs per SKU per location; • Forecast • Forecast Error • Lead time • Lead time variance • Replenishment Cycle (How much you buy?) • Review period (How often you review your inventory?) • Desired target service levels • This information will be set within Optimiza. Optimiza then uses these inputs to build up a Risk Profile for each item. This Risk Profile defines the relationship between the desired availability level and the required safety stock needed to achieve that desired availability level. Optimiza dynamically adjusted this Risk Profile as the inputs change. Optimiza also allows the user to model the impact of different target availabilities on the inventory levels both at a line item and a macro level.

The forward plan Tool At any stage of the forecasting and policy process a stock projection can be viewed, for either a single item, a group of items or all items in a location This projection can be done at cost value, sales value, profit, unit quantity or by pack size and in either months, weeks and days This projection can be done for either individual parts or groups of parts • These stock projections are built up based on 6 factors; • The current stock position • Any outstanding purchase orders • The active forecast • The lead times • The replenishment cycles (how much must be ordered, either set as a frequency or using the MOQ or Order Multiple. • The required safety stock to achieve the desired service level (How this works is covered later in this document) Up to 5 years projections can be provided on • Stock levels • Safety Stock levels • Order This projection can be dumped into an Excel file with a push of a button Full what if capabilities is availability to model different scenarios by adjusting any of these parameters . Views can be in Graphic or Tabular format

Inventory Flow Optimisation • Optimizaalso contains a Order Optimisation Engine that allows for the optimisation of Orders • - Into containers from consolidation hubs • - To take into account Supply Shut Down Periods (Chinese New Year) • This Order Optimisation Engine also allows for real-time modelling of changes to Bill of Materials as well as the flow of product within the network. i.e. You change a forecast of a component and it instantly reflects these changes in all the associated Raw Materials in all the locations.

  16. 6. monthly: policy review In addition to the Forward Plan tool, Optimiza also has a inventory risk modelling tool which can allow you to assess the impact of a wide range of Scenarios like an - Increased/Decrease of Service Level Targets - Improving/worsening forecasting performance - Increase/Decrease in Lead Times - Increase/Decrease in Supply Constraints - Changes to a variety of Ordering Constraints

  17. 6. monthly: policy review • It is easy to access the detail of what the policy is for each item • Oriana also has a forward plan view that projects the stock level into the future based on current policy and forecasts

  18. 7. monthly: data integrity review Empty space, where anything can be added The planner is responsible for the data of his portfolio, he can then investigate quickly with customised dashboard if everything is aligned.

Lead time management • Optimiza allows for the setting and monitoring of lead times and supplier orders • The solution includes multi-channel (air, sea and road) and multi-supplier (primary and alternative) set-ups per item • Using the dynamic dashboards, it is easy to define OTIF measures both at the Order and Line levels. • Optimiza calculates the Supply Risk associated with supplier deliveries which is a key input into the safety stock levels • Supplier Portals • It is simple for user to set-up supplier portals. • These portals can be used to communicate new orders or report performance to suppliers. • Equally suppliers can update expected delivery dates, order quantities and ship dates thought the portals.

Standard functionalities • Optimiza also includes • The creation of personalised views, creation of shortcut on the ribbon and quick filters for grids. • Easy search facilities. • Optimiza is fully integrated with Microsoft Excel: • Creation of pivot table within the tool • Filter per columns • Export and import files from Excel • Add/remove, create and sort columns.
