  1. Housing and Multi-Activity (Advanced) Work Write-Ups, Specifications, and Requests for Bid

  2. Work Write-Ups • A document that details individual tasks that will be addressed during the course of the Rehab project.

  3. Work Write-Ups • The Work Write-Up will contain: • A Specification detailing materials to be used. • The Method that will be used to install the item. • The Quantity of the material required to complete the task. • An Estimated Cost of the material and labor required to complete the task.

  4. Work Write-Ups: the Specification • A Specification describes, in great detail, the material and it’s attributes that will be used in the completion of the task. • Size or quantity of material required. • Composition: wood, fiberglass, vinyl, tile, linoleum, brick, Hardi-plank, tile, etc. • The material attributes: color, texture, pattern. • Quality or manufacturer name brand (“or equal”)

  5. Work Write-Ups: the Specification • A Specification describes, in great detail, the method of installation that will be used to complete the task. • Attaching hardware type. • Procedures and steps necessary to ensure professional results – Manufacturers Instructions.

  6. Work Write-Ups: Standard Units of Measure • The Standard Unitof Measure is the basic unit by which the material is sold. • Square foot – sq. ft. • Square yard – sq. yd. • Each – ea. • Linear foot – Lf. • Square – sq. • Gallon – gal.

  7. Work Write-Ups: Unit Cost • The Unit Cost is the cost of each standard unit of measure. • Paint: $19.75 per gallon • Base board: $ .88 per linear foot • Windows: $225.00 each • Carpet: $15.15 per square yard

  8. Work Write-Ups: Quantity • The quantity of materials, described in Units of Measure, that will be needed to complete the task. • 722 sq. ft. • 13 sq. yd. • 17 each • 275 Lf.

  9. Work Write-Ups: Cost • Costs: the Unit Cost multiplied by the number of units (Standard Units of Measure) required. • 12 gal. @ $19.75/gal. $237.00 • 135 Lf. @ $.88/ Lf. $118.80 • 9 windows @ $225.00 ea. $2025.00 • 27 sq. yd. @ $15.15/yd. $409.05 Total: $2,789.85

  11. Request for Bids The Request of Bid contains the same information as the Work Write-Up EXCEPT The Unit cost and the Total cost

  12. Request for Bids • Distribute the Request for Bid among as many QUALIFIED contractors as possible. • Compare your cost estimate to those received from your contractors. • Select best (not necessarily lowest) bid. • Ignore “Low Ball” bids. • Negotiate final cost with selected contractor.

  14. Things to Remember • Have the homeowner initial each page of the Work Write-Up. Explain each item. • Include the Request for Bids in the Final Contract. • Have the home owner and contractor initial each page of the Request for Bids as part of the Final Contract. • Your Anniversary Date and Spouse's birthday.
