  1. Description of Recalls • A recall occurs when all copies of an item are checked out and another patron wishes to check out the item. The due date is shorted for the patron currently using the item so that the next patron may use the item. • Currently only reserve items can be recalled, and only staff may place the recall. When a patron places a hold on an item currently checked out the due date remains the same, however the patron with the item is unable to renew the item. • Services in other libraries

  2. SYSTEMS AFFECTED People/positions affected: Circulation staff – daily activities & policy questions, authorizations Reference librarians-training & policy questions ASA’s – set up Patron’s – returning and receiving items, faculty/staff will be most affected by shorter due dates Administration – responding to patron complaints

  3. SYSTEMS AFFECTED Millennium: 10-15% of Loan rules will need to be tweaked (Recall variables) 13. Minimum use-minimum loan period, (would like to set this at 42 days) 14. Eligible to recall- (would like to set this to 14) 15 Time Return Recall-(would like to set this to 14) 16. Time to pickup-(would like to set this to 14) 41 Grace period- (would like to set this to 2)

  4. SYSTEMS AFFECTED Millenniumcontinued Notices text setup (P#102614) 38 Text recall notice-The message number from the Text of Circulation notices file which specifies the text of a recall notice (not only will the number need to be chosen, but text will need to be created Fines will need to be set up (how much?) (P#102614) authorizations: required to alter due date of recall; staff will need to acquire

  5. SYSTEMS AFFECTEDMillennium Continued System Options (P#101942) Number of holds before minimum use used for due date-Set this option to the number of holds an item must have before the system uses the loan rule's MINIMUM USE element in calculating the item's due date upon check-out. (now set at 10, would like to change to 1) (P#101948) Give precedence to local holds-current setting is at NO, change to YES. Precedence would go to folk at their own libraries, but theoretically would NOT prevent others from having items from other libraries. (P#101950) Start charging fine increment after TIME RETURN RECALL-current setting at NO, change to YES. Will enable recall fines to accrue. (?) Hold autoexipre in OPAC-may need to extend this from the current 14days to whatever time period (42) set up for recalls. If this does not change, recalls will not be effective.

  6. Recall Recommendation • 42 day minimum use • Incorporating the feedback of CLIC library colleagues, this alternative is proposed: • first patron is given 42 days of exclusive use; • 7 days to return a book (when the recall date is after the 42 day minimum use period); and • when the original due date is within 7 days, the due date is not altered. • Notices, Fines and Grace Period • Fines increase $1 per day when an item is recalled. • Items returned within a grace period of 7 days are not fined. Starting on the eighth day, fines will be automatically charged on the patron’s library account.

  7. Recommendation cont. • All currently holdable “regular” CLIC library collections will be included. • Extending the default “not needed after” date for opac requests to 50 days.
