Chapter Membership • 2012-2013 Chapter President: Dana Evans • # of Members – Beginning of Year: 15 • Current # of Members: 15 (lost two, gained two) • Chapter Size Category: Small • Membership Goal for 2013-2014: 15 • Recruiting and Contacting – methods: email, website, press releases about events, mail, phone calls • Chapter volunteers – recruiting, involvement (activities): • What months and day of the month do you hold educational meetings: n/a; we try to meet twice a year • Methods of communicating with members: email, phone, website

Board of Directors • # of Members: 5 • Types of Positions: President, Vice President/President Elect, Secretary, Treasurer, Member-at-Large, Board Chair, CRM Liaison • Elected Officials: President, Vice President/President Elect, Secretary, Treasurer, Member-at-Large • Appointed Officials: CRM Liaison, Board Chair • Meetings (how often and method i.e. in person, conference calls): conference calls as needed, at least 1 per year in person • What was Good about your BOD: experienced, motivated, creative, hardworking members, all very loyal to Chapter • What Challenges did your BOD face: geographic separation, member engagement, Board nominations, recruitment • Board Transition of Members – at end of year:no new members • Recruiting/Succession planning methods: on the lookout all year; solicited members; emailed prospective members; shared ARMA info @ CMCA records training & County Clerk & Recorder conference

May 2013 • Meeting Date: Friday, May 3, 2013 • Time of Day: 11:30am (prior to seminar lunch break) • Attendance #’s: 6 members, 7 guests • Topics: Recap of 2012-13 activities, Officer Installation, invitation to join Chapter, upcoming highlights • Speaker: Dana Evans, Chapter President • Comments: This arrangement worked better than last year, when we held the meeting at the end of our seminar and no one stayed!

Annual Seminar • Meeting Date: Friday, May 3, 2013 • Time of Day: 8:00am to 4:00pm • Attendance #’s: 12 + 1 vendor • Topic: “Your Road to Records – From Principles to Practice” • Speaker: Janie Wait, CRM, WyomingARMA Chapter • Attendee Fee Structure: Chapter member/student $75; non-member $90; walk-ins $10 additional • Vendor Involvement/Support: 3 • Fee Structure $90 for table & agenda time to address attendees • Special Activities (e.g., silent auction): door prizes; $50 donation to AIEF made in speaker’s name

Special Projects • Community Involvement – charities, services etc: AIEF donation • Other professional organization projects/relationships: Continued outreach to Mesa County Bar Association, Bookcliff Chapter of International Association of Administrative Professionals (IAAP), Western Colorado Human Resources Association (SHRM) • Scholarship programs/promotions: Chapter discounts offered to students • Mentoring activities: One Board member is active in the IntelliTec College Program Advisory Committee for Business Office Administration and Accounting Program – Records Management course added to their program in 2013! • Vendor Relationships: we have 3 vendor members

  7. Special Projects – Board of Directors • Membership recruitment campaign targeting Grand Junction Chamber of Commerce members; letter and flyer mailed to 405 businesses and individuals. City of Durango graciously paid for this! • Follow-up phone calls and seminar flyer mailed to all by Board members and Chapter mentor Chris Ames • Spring seminar coordination • Website updated & refreshed

  8. Successes, Challenges & “Different” • What were your chapter’s top successes? We’re still here, starting our 5th year! Silver Level Chapter Merit Award for 2011-12 4 of 5 Board members attending this leadership conference! • What really challenged the Board and/or Chapter this year? Member involvement Member recruitment Avoiding BOD burn-out • What would/could the BOD have done different or would try next time? We will continue to emphasize cost-effective recruitment ideas Will continue to recruit new Board members for next year

  9. Conclusion • Please share one or two expectations or ideas you have for the coming Chapter year. We look forward to using the new Associate membership level as a recruitment tool – this may be really helpful for smaller municipalities in our Chapter area! To do this, the Board will revise and update our Chapter Bylaws.
