Preparation • Prepare agendas for board and club meetings • Use minutes to remind you of pending matters • Notify members who will be called upon to give reports so they can be prepared • Begin on time and follow the agenda

Official Visits -- What Are They? • District Officer attends Executive Board and Club Meetings. • Chance for club members to meet a District Officer and learn more about District/PI. • Training – District Officer presents a short training session, President chooses which of 5 topics. • Opportunity to alert District/PI of any issues or problems club is experiencing and get help. • Opportunity for club to share successes with District/PI.
Who Does the Visitor Meet With? • Club President • President-Elect • Executive Board • Club Membership • Guests (to promote membership) • Civic Leaders • Local Press
Official Visits – What Visitor Needs • Club budget, member roster and any other materials that will help to know the Club. • Club’s agenda for visit date. Make sure Visitor is on the agenda. • Background information about the Club: • Club Charter Date • Club Plans of Work • 50/25 year members • Club Projects • Club Fundraisers • Club accomplishments for recognition • Club website • Club Facebook Page • Awards
Attend Fall Workshop, District, and Pilot International Conventions • Report to membership at next business meeting • Encourage members to attend • Make certain to answer members’ questions and concerns • It is okay to say, “I don’t know,” if it is followed with, “But I’ll find out.” • Make sure you find out the answer and get back to the member who asked.
