Human Resources Office Functions The services of the Human Resources Office include, inter alia: Recruitment and appointments Contracts of employment Payroll administration Staff development and training Employee relations Staff records and statistics Equality of opportunity Promotions and grading Support and advice on all HR related matters to staff and management

Research Recruitment - Stage 1 • Research posts with duration of 6 months or more must be advertised, with some exceptions • Personal awards – Marie Curie, Govt. of Ireland, MMI Fellowships • Researchers named in grant applications • Temporary posts with duration of less than one year without prospect for renewal • Posts must be tied to external research funding
Stage 2 • Copy of the Advertisement • Sample ads available from HR • Advert to include essential and desirable skills, salary data, start date, duration, etc. and must be advertised for the minimum of 2 weeks • Cost of advertising borne by Research Centre/School
Stage 3 • Short listing • Research Centre will receive applications • Keep Record (NB) • Post co-ordinator arranges board of assessors to meet • Complete Shortlist form • Regret & Invite letters issued by Centre
Stage 4 Planning for interview • All interviewers should be trained and understand the equality legislation • Interview board – gender balance essential • Any special arrangements required? • Job description and job / person specification • Selection criteria – agree weightings, prepare questions in advance, ask all candidates the same questions. • Return completed Paperwork to HR, delay in doing this will hold up the recruitment procedure.
Stage 5 • Contract of employment issued by HR • Medical, Gárda vetting, Hosting Agreement – this information can take time to receive back anywhere from 2 to 4 weeks (softcopies are not accepted) • Offer letter, contract of employment etc copied to PI • Delay in new employees returning documentation can result in missing their start date and or missing payroll cut off date. • Newcomer pack for new hires sent c/o supervisor for arrival • Records must be kept for 2 years
On boarding • Newcomer pack includes the following items • Task list • Campus and city maps • Letters of support for Banks and Social Welfare (PPS) • Letter in lieu of ID card to allow access to staff facilities • Tax forms • Some additional information, ie schooling, childcare, medical info • PI to organise person to assist newcomer for first few days, accommodation
